As a Receptionist your responsibilities will include:



While we have a hybrid plan, this position requires full-time work in the office. Open and close Reception promptly, following our business hours of 8:30 am to 5:00 pm. Answer calls professionally using our software-based phone system and transfer callers to the correct colleague. Greet every guest warmly and make them feel welcome. Accept and securely process client payments, including cheques and debit/credit cards. Always keep the reception and client-facing spaces tidy and presentable. Handle meeting room bookings and catering needs, including setting up and cleaning up for meetings and events. Coordinate mail, faxes, and courier deliveries and pickups, which include signing for items and completing necessary documentation like waybills. Process invoices for the Nova Scotia offices, covering office supplies, couriers, taxi chits, catering, event venues, offsite storage, etc. by coding and submitting them for payment. Assist with preparing meeting materials, such as printing presentations and handouts as needed. Create, revise, and format letters, reports, presentations, and other documents using MS Office tools (Word, Excel, PowerPoint, etc.) as required. Prepare and monitor expense claims and submissions. Carry out additional administrative tasks to support all Nova Scotia locations as necessary.

Completion of a recognized administration/office program considered an asset Minimum of 1-3 years' experience as a receptionist or equivalent roles Excellent telephone, interpersonal and customer service skills Excellent verbal communication skills Good organizational and time management skills Ability to work effectively under pressure Ability to use good judgment in assessing difficult situations Takes initiative, takes direction and works well independently Keen attention to detail, efficient and accurate
