We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and ensuring smooth office operations. This role requires excellent communication skills, proficiency with office management tools, and the ability to multitask efficiently in a fast-paced environment. Experience with QuickBooks, Microsoft Office, Google Workspace, and previous office or clerical experience are highly valued. Bilingual abilities are a plus to support diverse client interactions. The Receptionist will play a vital role in maintaining an organized front desk and supporting administrative functions across the organization.
Responsibilities
Greet visitors and clients warmly, ensuring a positive first impression
Manage multi-line phone systems with professionalism and courtesy, directing calls appropriately
Handle incoming correspondence, including emails, mail, and packages
Maintain accurate records through data entry, filing, and document proofreading
Schedule appointments and manage calendars using Microsoft Office and Google Workspace tools
Assist with office management tasks such as ordering supplies and organizing files
Support administrative duties including typing, proofreading, and maintaining office documentation
Provide customer support by addressing inquiries promptly and effectively
Perform basic bookkeeping tasks using QuickBooks when necessary
Ensure the front desk area remains tidy and welcoming at all times
Qualifications
Proven experience in office administration or clerical roles; prior receptionist experience preferred
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar)
Excellent organizational skills with keen attention to detail
Ability to manage multiple tasks efficiently while maintaining professionalism under pressure
Exceptional phone etiquette skills; experience with multi-line phone systems is advantageous
Bilingual abilities are preferred to serve diverse clients effectively
Familiarity with QuickBooks or bookkeeping is a plus
Strong time management skills with the ability to prioritize tasks effectively
Previous experience in medical or dental reception is desirable but not required
Personal assistant or office management experience will be considered an asset
