Job Description

Job Summary


As the first point of contact for Casawise, the Receptionist & Client Ambassador plays a key role in creating a welcoming and professional experience for clients, tenants, and vendors. This role combines front-office coordination with administrative and client service support, ensuring that daily operations run smoothly and every interaction reflects the Casawise standard of excellence.

Key Responsibilities



Client Interaction



Greet clients warmly and professionally, creating a positive first impression. Field phone calls and emails, addressing routine inquiries and directing them to the appropriate team members.

Email and Mail Management



Monitor and manage the info@casawise.ca inbox, ensuring timely responses and appropriate follow-up. Process, log, and distribute incoming and outgoing mail efficiently.

Office Supplies and Utilities



Oversee office supply inventory, order necessary items, and maintain adequate stock levels. Set up and process utilities for properties, including logging account information and confirming accounts for move-outs.

Database and Document Management



Update and maintain owner and tenant information in Buildium. Update Security Deposit statements for keys and utilities as needed for move-outs.

Communication and Notices



Forward condominium and general notices to tenants and owners promptly.

Administrative Support



Complete assigned portions of the Termination Checklist. Send and receive keys and packages via courier. Perform weekly filing and maintain organized records and documentation. Prepare move-in and move-out packages. Respond to basic financial inquiries and assist with cheque printing.

Office Environment



Ensure that the reception area, kitchen, boardroom, and meeting rooms remain tidy and presentable.

Payments and Meetings



Process in-person rent payments efficiently and accurately. Attend weekly Casawise meetings and contribute to team discussions.

Key Management



Manage key and lockbox systems, order fobs/keys, maintain log books, and generate related reports. Prepare new files and intake keys for new properties. Complete assigned portions of the PMA New Unit process. Review keys with contractors after move-outs and follow rental process checklists after move-ins.

Qualifications & Attributes



Strong interpersonal and communication skills with a client-first mindset. Excellent organizational skills and attention to detail. Proficient in Microsoft Office, Monday.com, and property management software (Buildium experience an asset). Ability to multitask and manage priorities in a fast-paced environment. Professional demeanor and commitment to maintaining a positive, polished office environment.

Job Type: Full-time

Pay: $42,500.00 per year
