This role requires excellent communication skills, strong organizational abilities, and proficiency with office software. Experience in medical is plus, but not mandatory. The Receptionist will handle various administrative tasks to support smooth office operations and provide exceptional customer service.
Duties
Greet visitors and clients warmly, providing a welcoming environment
Manage multi-line phone systems, directing calls accurately and professionally
Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
Perform data entry with high accuracy, updating client records and filing documents systematically
Handle incoming and outgoing correspondence, including emails and mail distribution
Assist with billing, bookkeeping, and QuickBooks entries as needed
Maintain organized front desk area, ensuring all supplies are stocked and accessible
Support administrative functions such as proofreading documents, managing files, and supporting customer support inquiries
Provide exceptional customer service by addressing questions or concerns promptly and courteously
Support medical or dental office operations by managing patient information and appointment scheduling if applicable
Qualifications
Proven experience in office administration, clerical work, or customer service roles
Familiarity with QuickBooks, Microsoft Office Suite (Word, Excel), Google Workspace, and data entry systems
Strong organizational skills with attention to detail and accuracy in typing and proofreading
Excellent phone etiquette with experience handling multi-line phone systems
Ability to manage filing systems efficiently and perform administrative tasks independently
Previous experience in medical or dental offices is advantageous but not required
Strong computer skills with the ability to adapt to various software platforms
Demonstrated organizational skills with the ability to prioritize tasks effectively
Professional appearance and demeanor with excellent communication skills
