JFSC is recruiting a part time receptionist!

The receptionist role is responsible for handling all front office administration duties, including greeting guests, answering the phones, handling company inquiries, sorting/distributing mail and promoting a positive first impression to JFSC visitors and clients. Professionalism, confidentiality, proactiveness, initiative, and strong organization and time management skills are critical for this role.

Responsibilities Include:

• Answer visitor's inquiries about the agency and its services; in person, phone/email
• Welcome, and direct visitors to their destination; transferring phone calls to appropriate staff members, prioritizing need and urgency for communication with staff
• Establish & monitor security access control at front desk by issuing visitor passes (sign in or out), screening for appointments, while maintaining accurate scheduling sheets and statistical information
• Manage and organize reception area (ensuring pamphlets and brochures are stocked); kitchen area is tidy; front entry way and sidewalk is clear of hazards.
• Distribute incoming mail; prepare outgoing mail
• Maintain inventory of, and purchase office and kitchen supplies
• Able to recognize, prioritize and appropriately handle urgent matters
• Update templates regarding phone numbers, schedules, contact lists, and calendars etc.
• Complete accurate filing in a timely manner
• Enter Program & Client Evaluations data
• Capture and prepare meeting minutes
• High attention to detail and organization
• Assist with miscellaneous Agency administrative tasks
• Assist staff with preparing program binders for information and notification
• Assist with the food pantry as required
• Participate in administration and office meetings
• Participate in internal committees as assigned
• Coordinate, collaborate and work with other colleagues of JFSC
• Know and adhere to policies and procedures
• Perform ad hoc duties or projects as required

Qualifications:

• Post-secondary education/training
• Strong computer skills including Microsoft Office Suite
• Capacity to work well within a multi-disciplinary setting
• High attention to detail and organization
• Satisfactory Police Security Check with Vulnerable sector
• Satisfactory reference checks

Pay: $18.00-$22.00 per hour

Expected hours: 18 - 29 per week
