Job Summary





The primary purpose of the Receptionist role is to manage front-desk operations efficiently, ensuring a welcoming environment for visitors, handling incoming communications, and providing administrative support across various functions. The role also involves assisting with payroll processing, maintaining the reception area's safety and hygiene, and supporting office events and onboarding activities



Role Responsibilities




Greet and assist visitors, ensuring they adhere to company policies and maintain a safe, welcoming, and hygienic reception area Track visitors log in or when employees forget their fobs as part of the emergency evacuation tasks Operate the telephone system to answer, screen, and forward calls, take detailed messages, and provide necessary information to callers. Handle queries and complaints via phone, email, and in-person communication, ensuring all issues are resolved promptly and professionally Review timesheets and enter hours in SAP to assist the processing of payroll for non-union employees accurately and act as a backup for manufacturing (union) employees' payroll during vacation Monitor and order office supplies through Grand & Toy and Amazon to ensure the office is well-stocked. Actively participate in the CIMCO Social Committee, coordinating and organizing company events to foster a positive workplace environment Receive, sort, and distribute daily mail efficiently, ensuring all correspondence reaches the co Sort and prepare cheques for courier and mail delivery to US and Canadian destinations weekly according to the company's schedule Sort and prepare cheques for courier and mail delivery to US and Canadian destinations weekly according to the company's schedule

Required Professional Knowledge, Skills and Qualifications




Previous experience in a similar customer focused administrative role required Post Secondary education is preferred Strong ability to engage with visitors and employees, providing a welcoming and professional experience. Effective in verbal and written communication, with the ability to handle queries and complaints tactfully. Capable of managing multiple tasks, such as scheduling, mail distribution, and supply management, efficiently. Ability to prioritize tasks like payroll processing, cheque deposits, and meeting room bookings to meet deadlines. Ensuring accuracy in payroll processing, cheque handling, and maintaining records. Familiarity with telephone systems, Skedda for meeting room bookings, and payroll processing software. Capable of resolving visitor issues and ensuring smooth front-desk operations.
