We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to handle multiple tasks efficiently in a fast-paced environment. The Receptionist will play a vital role in maintaining smooth office operations and ensuring a positive experience for clients and staff alike.
Responsibilities
Greet visitors and clients promptly and professionally at the front desk
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Schedule appointments and maintain calendars using Microsoft Office and Google Workspace
Perform data entry, filing, and record keeping with accuracy and attention to detail
Handle incoming and outgoing correspondence, including emails and mail
Assist with administrative tasks such as proofreading documents, organizing files, and managing office supplies
Support bookkeeping activities using QuickBooks or similar software when necessary
Provide excellent customer service by addressing inquiries courteously and efficiently
Maintain a clean and organized reception area to promote a welcoming environment.
Requirements
Proven clerical or administrative experience, preferably in a medical or dental office setting
Strong computer skills with proficiency in Microsoft Office, Google Workspace, and data entry applications
Experience with QuickBooks is a plus
Excellent organizational skills with the ability to multitask effectively in a busy environment
Exceptional phone etiquette and customer service skills
Ability to handle multi-line phone systems confidently
Attention to detail for proofreading, filing, and data accuracy
Strong typing skills with high speed and accuracy.
Prior experience in bookkeeping or office management is beneficial
