Job Summary



We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. In this role, you will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. Your ability to multitask and maintain a professional demeanor will contribute to the smooth operation of our office.

Duties



Greet clients and visitors warmly, ensuring a positive first impression. Manage phone systems, directing calls appropriately and taking messages when necessary. Perform data entry tasks accurately and efficiently to maintain up-to-date records. Book appointments. Respond to email inquiries Handle filing and organization of documents to ensure easy access for team members. Provide clerical support, including typing, proofreading, and preparing correspondence. Utilize Microsoft Office Suite and Google Workspace for various administrative tasks. Support customer service efforts by addressing inquiries and resolving issues promptly. Maintain the front desk area in an organized manner, ensuring it is welcoming for all visitors. Collaborate with team members to enhance office efficiency and workflow.

Experience



Proven experience in an office environment is preferred, with a focus on administrative roles. Familiarity with multi-line phone systems and strong phone etiquette skills are essential. Proficiency in Microsoft Office applications (Word, Excel, Outlook) and Google Workspace is required. Experience with data entry, filing, and clerical tasks is necessary for success in this role. Previous customer service experience is highly valued; experience in a medical or dental office setting is a plus. Strong organizational skills with attention to detail are crucial for managing multiple tasks effectively. Basic bookkeeping knowledge or experience with QuickBooks is beneficial but not mandatory.
