We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is essential in providing excellent customer support and ensuring smooth administrative operations. The ideal candidate will be the first point of contact for clients, visitors, and tenants handling inquiries with professionalism and efficiency while supporting various administrative tasks.
Key Responsibilities
Front Desk & Customer Service
Greet and assist residents, clients, vendors, and visitors with professionalism and warmth
Manage and route phone calls, emails, and general inquiries
Maintain a tidy and organized front desk and reception area
Administrative Support
Support Property Managers and Coordinators with resident and vendor communications
Schedule appointments for maintenance and tenant/unit needs
Prepare and distribute resident notices and formal communications
File, scan, and maintain both electronic and physical records
Order and restock office supplies, snacks, and kitchen essentials
Maintain and troubleshoot office equipment, including the printer
Maintenance & Operations Coordination
Receive and triage maintenance requests; prioritize based on urgency
Schedule and coordinate with tenants and vendors
Log and track work orders to ensure timely completion
Upload invoices and maintain maintenance records
Key Management
Maintain and monitor key log, following up on overdue sign-outs
Issue and return keys to staff and vendors
Label, cut, and prepare full key sets as needed
Prepare key handover forms for tenants and owners
Other Duties as Assigned
Assisting with event coordination (e.g. staff lunches, resident appreciation)
Helping prepare lease packages and welcome kits
Coordinating courier deliveries and outgoing mail
Running small errands for office or property-related needs
Supporting marketing and leasing initiatives (posting ads, organizing signage)
Data entry and reporting assistance as needed
Back-up support for team members during absences
Qualifications
3+ year of administrative or receptionist experience preferred
Strong customer service and organizational skills
Ability to multitask and manage competing priorities
Excellent communication and problem-solving abilities
Experience in property management or real estate an asset
Proficiency in Microsoft Office and digital filing systems
Experience in Canva considered an asset.
