Receptionist / Administrative Assistant (Accounting Support)



Vaughan, ON | Full-Time | In-Office

We are seeking a

highly organized and detail-oriented Receptionist / Administrative Assistant

to support both financial and administrative operations in a fast-paced office environment. This is an in-person position ideal for someone who enjoys balancing front-desk responsibilities with accounting support tasks.

Start Date: August 5, 2025



Key Responsibilities



Bookkeeping Duties:



Maintain accurate financial records using accounting software (e.g., QuickBooks) Record daily financial transactions and reconcile accounts Process accounts payable and receivable Generate and send invoices; follow up on outstanding payments Prepare financial reports; assist with month-end and year-end processes Track expenses and categorize transactions Maintain accurate payroll records and assist with payroll processing Support budgeting and forecasting as needed Liaise with external accountants for tax filings and audits

Administrative Duties:



Manage and organize office files and records Respond to emails, phone calls, and client inquiries Support HR processes including employee records and timesheets Schedule meetings and manage internal calendars Order supplies and ensure smooth day-to-day operations Assist with onboarding new hires and internal policy compliance Handle sensitive information with confidentiality and professionalism

Qualifications:



Prior experience as a bookkeeper or administrative assistant Strong knowledge of accounting principles and processes Proficiency with accounting software (e.g., QuickBooks) Excellent organizational and time-management skills Strong attention to detail and accuracy Proficient in Microsoft Office (Excel, Word, Outlook) Ability to multitask and prioritize in a busy office Clear written and verbal communication skills Discretion when handling confidential information

Preferred Assets:



Experience in a healthcare, education, or therapy setting Familiarity with payroll systems and CRA remittance procedures Understanding of basic HR practices

Working Conditions:



Location:

In-office (Vaughan, ON) -- this is not a remote position*

Hours:

Monday to Friday, 9:00 AM - 5:00 PM Some weekend hours required during tax season (April) Must be able to work independently and collaboratively as part of a team

Compensation:



$22.50 - $24.50 per hour
