What will your typical day look like?

We are currently looking for an energetic, results-oriented Workplace Services Professional (WSP) with exceptional communication and interpersonal skills to join our team in our new office building in Vancouver. The scope of service will include reception and guest services, along with assisting our team with meeting and hospitality services.

The candidate must be detail oriented, proactive and should be able to work both independently and as part of a team, multi-tasking in a fast-paced environment.

This role includes, but is not limited to:
  • Meet and greet clients at the reception desk; point of contact for general office information as required to requesting visitors and staff.
  • Manage office access cards for visitors, vendors and staff.
  • Manage concierge services, as required.
  • Manage incoming faxes and distribute, as required.
  • Answer telephone and assist callers and serve as back-up for phones in other BC offices, as required.
  • Assist the Meetings and Hospitality WSP team with room set-up and clean-up, including service duties on our collaboration floors, as required
  • Filter incoming requests and direct to the appropriate departments, as required. (i.e., room, catering, facility requests, etc.)
  • Assist with accounts payable support in relation to local office expenses.
  • Assist with Health & Safety program: Fire Warden.
  • Apply knowledge of the firm\'s various software, processes, policies and tools.
  • Ability to lift up to 25lbs.
  • Assist the Workplace Services team with other various tasks, as required.
About the team

The Workplace Services Professionals (WSPs) are at the centre of our clients and guests\' experience - setting the tone from beginning to end. They are responsible for providing an elevated hospitality service and possess a practical body of knowledge in the delivery of office support. Working closely with a team of colleagues and supported by the WSP manager, the individual will be required to demonstrate a keen knowledge of the firm, anticipate the needs of our guests and talent, go the extra mile when tending to both internal and external parties, react and problem solve efficiently and demonstrate attentive listening skills.

You are someone with:
  • 1-2 years experience in a reception role (or similar guest service experience)
  • Excellent organizational and time management skills; proven track record of dealing with multiple priorities in a fast-paced, client focused environment.
  • High attention to detail and task orientation with an aptitude for problem solving.
  • Commitment to a client-service mindset, including respect for firm and client confidentiality and the ability to demonstrate discretion as required on client, market (or other) sensitive matters.
  • Proficient in Microsoft Office suite MS Word, Excel, PowerPoint, Teams
  • Demonstrates enthusiasm for continuous learning relevant to the role.
  • Excellent verbal and written communication skills in English.
  • Self-motivated, with demonstrated proficiency at effectively working both individually and as part of a team.
  • Flexibility to meet the scheduling requirements which includes shifts that start at 9:30am and finish at 6:00pm. Overtime may occasionally be required.
