Job Summary

Reporting to the Executive Assistant, Research Administration, the Receptionist will perform reception, clerical and general secretarial duties as well as receive work direction from other Research Centre Staff members, as required.

What you\'ll do

Scope and Complexity

The Receptionist is the first point of contact for visitors to the BC Cancer Research Centre. This requires her/him to be professional and also use discretion and sensitivity since many of the visitors are patients and family members seeking directions to the Library which is located in the BCCRC.

Communications

Internal

The Receptionist will interact on a daily basis with all departments within the BCCRC. This will include administrative and scientific staff. This contact will be for the purpose of booking rooms and circulating seminar notices and other email communication requiring dissemination within the Centre. This role will also communicate with departments of BCCA and PHSA (MultiMedia/Executive Offices, etc.).

External

The Receptionist will interact with scientific staff and personnel from collaborating national and international institutions (e.g. University of British Columbia/Simon Fraser University/Washington University, University of California). This will be a factor of the duty of support for seminar presentations and coordination of meeting room bookings.

  • Receive and direct incoming calls; answer enquires from staff and the general public; receive and direct visitors to appropriate areas and provides information; direct enquiries to appropriate staff members; ensure that only authorized persons have access to office and laboratory areas of the Research Centre.
  • Receive, sort and distribute incoming mail; ensurs central stationary supply area is maintained.
  • Provide support for seminars; create and distribute seminar notices using appropriate software; prepare and maintain seminar speaker database; prepare, track and submit seminar related expenses; organize catering; coordinate seminar videotaping with BC Cancer Agency sites and multimedia services.
  • Provide assistance to book, coordinate and maintain lecture, seminar, and meeting room schedules; organize catering for meetings and lectures as required.
  • Provide support to Bursary, Scholarship and Awards Committee, answers inquires; send and receive applications; participate in committee meetings and provide follow up assistance as required; send out acceptance letters; maintain student database; maintain student waiting lists; file timesheets for awardees; and provide other support as required.
  • Perform other related duties as assigned.
What you bring

Education, Training and Experience
  • A level of education, training, and experience equivalent to a Grade 12 education plus two (2) years\xe2\x80\x99 recent related experience.
Skills and Knowledge
  • Demonstrated ability to use related equipment including, MS Office word processing, spreadsheet and database software.
  • Ability to accurately type 50 words per minute.
  • Ability to work independently and be self-motivated.
  • Flexibility to meet and adapt to changes in organizational priorities.
  • Demonstrated organizational skills and the ability to prioritize workload to meet time pressures and deadlines.
  • Demonstrated ability to communicate effectively, both verbally and in writing, including the ability to respond politely and diplomatically to both internal and external inquiries.
  • Physical ability to carry out the duties of the position

Job Type: Temporary, Full-Time, September 5, 2023- August 29, 2025

Wage: $47,064.00- $61,771.00/ year. The starting salary for this position would be determined with consideration of the successful candidate\xe2\x80\x99s relevant education and experience, and would be in alignment with the provincial compensation reference plan. Salary will be prorated accordingly for part time roles.
