The Manor Village at the Groves of Varsity is currently seeking a dedicated and service-oriented
Reception Manager
to support the day-to-day operations of our reception area. This full-time position involves a variety of administrative and clerical duties, supporting team scheduling and training, and helping to ensure a warm, welcoming experience for all Residents, visitors, and associates. Requirements and Accountabilities
Customer Service
Greet visitors, ensure that they sign-in and out in guest book and respond to all requests
Handle all phone calls and route callers or answer questions
Clerical
Take meeting minutes and distribute accordingly
Type office documents as required
Book elevator and program security system for Residents moving-in and out of the building
Maintain and update lists of all Resident and associate emergency phone numbers
Update Communications Book to advise all associates of any
Update emergency binder as required
Receive and forward mail to appropriate Team Member or place in assigned mail slot
Book the guest suite and collect payment
Coordinate cleaning of guest suite with Housekeeping Supervisor
Maintain common area and elevator keys/fobs
Organize/track/forward Transportation requests
Sales and Marketing
Forward inquiry calls to the Lifestyle Marketing Professional or designee
Document and respond to marketing inquiries
Maintain database of inquiries as instructed
Ensure pertinent information is gathered
Ensure marketing materials are ready and available for use
Garden Cafe
Perform Garden Cafe & Store duties daily:
o Ensure coffee is available throughout the day
o Clean tables in Cafe and keep area looking pleasant and tidy
o Restock product and display merchandise in a pleasing manner
Maintain daily operations of the Garden Cafe, including sales, inventory and ordering stock/food under the supervision and direction of the Executive Director. Document resident product requests and concerns for follow up
Balance cash at end of the day and run reports as required
Prepare dry cleaning for pick up by recording resident name, phone number and suite number
Community Maintenance
Keep reception, lobby and lounge areas clean and neat, free of clutter and trash
Wellness
Interact with Wellness Director; Call Emergency Services, as needed
Other
Maintain awareness of all daily activities (and changes)
Lead part-time reception team
o Train, performance manage and schedule part-time Reception associates
o Ensure associates follow policies, procedures and safety measures
o Complete, in conjunction with the Executive Director, talent review for part-time reception team
o In conjunction with Executive Director, hire part-time reception team
Miscellaneous other duties as required or requested
