The Opportunity
Alitis Investment Counsel is actively seeking a dedicated team member to join one of our Island-based office in Campbell River.
This permanent, full-time role (Monday to Friday, 8:30 AM to 5:00 PM, with a one-hour meal break) will begin as a Reception role providing coverage for a leave of absence. Following the leave, the role will transition into a Client Service Administrator position, while also serving as dedicated back-up support for reception (coverage during lunches, sick days, vacations, etc.).
This dual opportunity is ideal for someone who is enthusiastic about client service, highly organized, and eager to grow in a professional financial services environment.
Responsibilities
Phase 1: Reception (Leave of Absence Coverage)
Serve as the first point of contact at the front desk, greeting clients and visitors with professionalism.
Answer and direct phone calls and emails promptly and courteously.
Manage client bookings, appointments, and meeting schedules.
Maintain reception and office areas, ensuring they are professional and welcoming.
Perform opening and closing duties for the office.
Log all client interactions into our CRM system (Salesforce).
Handle incoming and outgoing mail.
Manage office supply ordering, including running errands and supply runs.
Complete daily/weekly bank runs and other administrative support tasks as required.
Phase 2: Client Service Administration (Post-Leave + Reception Back-Up)
Maintain daily communication with clients via phone and email.
Provide timely, flexible support to Portfolio Managers.
Process client documentation (account openings, non-financial updates, pension transfers, estates, corporate accounts, etc.).
Handle order processing and trade execution.
Maintain records and reconcile data using CRM software, trading system (Dataphile), and reporting system (Client Portal).
Communicate with external professionals (lawyers, accountants, etc.).
Assist with organizing and attending occasional client events.
Serve as dedicated reception back-up for lunches, sick days, vacations, etc.
Candidate Requirements
Strong verbal and written communication skills.
Confident with Microsoft Office (Word, Excel, PowerPoint) and comfortable learning new software.
Exceptional attention to detail and ability to prioritize multiple tasks.
Friendly, professional, and client-focused attitude.
Awareness of client privacy and confidentiality.
Comfortable with simple math calculations involving percentages.
Positive and team-oriented, with willingness to learn and adapt.
Preferred Qualifications:
Previous experience in reception, client service, or financial services.
Experience with Salesforce or other CRM systems.
Familiarity with administrative or front desk responsibilities.
Compensation and Benefits
Pay:
$52,000.00 - $58,000.00 annually
