The Client Services administrator is primarily responsible for collection, preparation and administration of client onboarding, account documentation and transfers from start to finish. The role may involve overseeing other staff that are delegated to provide support to these activities, and ensuring processes are followed and transactions are handled effectively. The administrator will work closely with the Business Development team members to support all aspects of client onboarding and continued service. This role is also responsible for administrative activities that support the senior management of the firm including development and maintenance of contact and client lists, and assistance in quarterly billing and client reporting. This role also provides general administrative support for Cardinal Capital Management, Inc., including transaction processing, and various other client services related administrative tasks. Salary is relevant to experience and qualifications.
Specific duties and functions include, but are not limited to:
Completing all tasks related to the new account opening process including: preparing Cardinal and custodian account opening documentation, assisting Referring Agents in completion of new account documentation, updating internal systems with new account information, completing follow up on deficiencies and outstanding documentation
Completing all tasks related to the transfer in of client assets including: preparing Cardinal and custodian transfer documents, updating internal systems and tracking with transfer information, completing proactive follow up on all transfers and preparing and communicating ongoing transfer updates to the Business Development team
Arranging and preparing documentation & reporting for client meetings
Preparing and communicating new account status to Business Development team
Acting on all requests for account updates & maintenance, transaction processing, and reporting
Completing general office support including handling cheque deposits and client withdrawal requests, assisting with quarter end billing process, and maintaining/managing client records
Supporting other Client Service Representatives
Communicating directly with external advisors and client's when required
Completing other duties and projects as assigned by the Manager
Education & Training
5 years plus, office administration experience
Post-secondary education or equivalent, preferably completion of University Degree or College Diploma in a relevant field
Completion of the Canadian Securities Course (CSC) would be considered an asset
