Position Summary


This position is responsible for overseeing the receiving function at the College's Campuses and ensuring that procedures for receiving, storing, and distributing materials and supplies are carried out in accordance with established policies and procedures. This includes the management of shipping & receiving areas, loading docks, receiving bay parking area, and mailrooms. Works as assigned at a college campus with occasional travel between sites.


Duties & Responsibilities


Primarily responsible for overseeing the receiving function at the College's campuses.

Receives, checks, and signs for all incoming supplies, materials, equipment and other goods using a log book and all college designated software (e.g.: Banner, FoodTrak, FAST, etc.).

Prepares and maintains a variety of clerical records regarding shipping/receiving transactions.

Notifies suppliers regarding overages, errors or shortages in deliveries, maintains records of such errors and follows up until resolved.

Directs and distributes shipments to the appropriate campus location.

Dispatches all outgoing goods via an approved courier company or Canada Post. Upon sending the parcel out of the college, email all tracking information to client and store all tracking information for the shipment in Shipping/Receiving.

Receives and distributes incoming post and interdepartmental mail. Prepares outgoing mail for dispatch, operates the letter inserting and sealing machine and on a monthly basis records chargebacks (in a pre-existing spreadsheet) and submits chargeback report to Finance department for processing.

Prioritizes tasks to meet operational requirements as required.

Liaises with staff, faculty, administrators, Student Union, vendors, contractors, couriers, and other individuals that interact with the receiving department.

Provides basic assembly of furniture from packaging and delivers as required.

Ensures the delivery of paper, toner, envelopes, and other stocked supplies as requested, manages the records of supplies delivered for monthly chargeback reports to Finance.

Ensures the replenishment of appropriate racks with VCC marketing materials on continuing bases as/when needed. Directs the distribution of bundles of VCC marketing materials when requested to appropriate locations (if needed will ship to off campus locations).

Maintains an inventory of paper, envelopes, and toner and distributes as required.

Provides monthly reports to various departments (Supplies Inventory, Supplies Charge Backs, and Postage Charge Backs).

Performs all fiscal year end reporting and housekeeping tasks which includes (but is not limited to): + Initiating all new fiscal year record keeping logs and binders.
+ Storage of all previous fiscal records on site for reference if needed.
+ Creating the next fiscal year's spreadsheets for managing the new year's information.
+ Boxing up all previous years (2 years old) and sending to Finance for storage for prescribed period of time (per Finance practices).
Manages the storage of Hazardous and Bio-hazardous materials until removed for disposal including all associated records.

Manages the storage of batteries, cell phones, and used toner tubes/cartridges until packaged up for shipping to an appropriate recycling facility.

Maintains WHMIS records as required.

Oversees the receiving bay parking spaces.

Orders Receiving related supplies as required.

Trains receivers when required.

Maintains the Receiving Departments Operations Manual.

Keeps the receiving area safe & secure by keeping it and organized and free of clutter

Monitors shipping and receiving area and loading bay visually and via live monitor. Reports issues of safety and security to security and supervisor.

Performs other related duties as required.




Qualifications


Education and Experience

Grade 12, including English and Mathematics and up to 1 year specialized training in materials handling and over 9 months' related experience. Equivalent combination of training and/or experience may be substituted for the required qualifications. Proficiency in the operation of Microsoft Office Suite (MS Word, Excel). Proficiency in the operation of college applications - specifically Banner, FAST, and FoodTrak software. Forklift 1-4-5 certification required. WHMIS certification required. Food Safe Level 1 required.


Skills and Abilities

Proven interpersonal skills with the ability to work collaboratively as a member of a team and to establish and maintain effective working relationships with students, staff, faculty, vendors, contractors and the general public. Working knowledge of supplies, equipment, and materials used at the College. Experience with and knowledge of computer systems for record-keeping and communications. Demonstrated ability to accurately and completely follow through with established practices and procedures. Proven knowledge of record-keeping practices and procedures. Some supervisory experience an asset. Possess a valid BC Driver's License. Ability to safely operate a loaded manual and/or electric pallet jack. Strength and agility to handle heavy objects safely and efficiently and be able to lift a minimum weight of 25lbs. Ability to effectively communicate in English orally and in writing. Ability to work independently.


Salary Range - Prorated based on FTE


PAYGRADE 20 (Plus 4 Paygrades) - $25.08 - $29.16
