SUMMARY

The Real Estate Inventory Business Analyst supports the quality and maintenance of Real Estate Inventory data and occupancy data. Areas of responsibility for the role include:
  • Planning and supporting periodic data verification activities.
  • Organizing verification teams.
  • Reviewing and comparing data quality results against the last scorecard.
  • Reviewing research and documentation (arising from the semi-annual measurements, reviews and reporting) to support changes.
  • Approving and reporting on the impact of any adjustments to Real Estate Inventory along with commentary in order to validate such adjustments against relevant inputs, reports and documentation.
  • Updating relevant source data, including source data for the Real Estate Inventory Dictionary.
This role will work in collaboration with all key BGIS departments to ensure full support of all activities and play a key role in our INTEGRATED approach to operating buildings.

KEY DUTIES & RESPONSIBILITIES

The Real Estate Inventory Business Analyst will have experience in the provision of integrated facility management services, contract management, performance management and quality management. Key activities include:
  • Meeting with Client to discuss BGIS\'s performance on a day-to-day basis of the Real Estate Inventory.
  • Documenting, following up on, and resolving Services issues in accordance with the REI.
  • Reviewing, resolving, and escalating (as necessary) unresolved issues, problems, and complaints related to REI and data quality.
  • Maintaining documents and records regarding Agreement compliance, revision, and dispute resolution.
  • Maintaining quality of IO Data and records management.
  • Maintaining documents and records and on-going reporting of amendments.
  • Providing business intelligence dashboards, reporting and comprehensive analytics and insights on REI and data quality.
  • Providing status and reporting on REI processes and services.
  • Supporting audits and reviews.
  • Ensuring that all audit findings, security and control issues are effectively resolved.
Reporting and Visualization
  • Role will support real time business intelligence dashboards, to visualize and report the status of the Targeted Real Estate Investment Plan and its associated targets.
  • Facilitate and drive the production of various files on building services and service level changes to feed the clients Geo-portal visualization tool.
  • Adhere to and participate in asset on/off boarding processes to add and remove buildings, lands, and leases from the Real Estate Inventory (\xe2\x80\x9cAOBOB\xe2\x80\x9d). Place Properties in the REI in a pending state, which involves setting up new or inactivating existing assets and associated leases in the source system(s), and (ii) start/stop building services, utilities, and payments in lieu of taxes based on the appropriate asset on/off boarding scenario. Move the Property to active or inactive upon formal acquisition and disposition of the Property.
  • Update all REI data for changes in G lease and M lease information as Clients move in/out or reduce or increase space in Properties based on the AOBOB process.
  • Will confirm completion and integrate the data to Client\'s Data Warehouse.
  • Will facilitate change all information related to AOBOB and the transaction management services with the transaction management services provider for the timely on and off boarding of Properties and leases related to third party leased space (L leases).
  • Responsible to effect, maintain and continuously improve Data Quality for the data and information related to approximately 160 Real Estate Inventory data categories as identified in the Real Estate Inventory Dictionary.
  • Facilitate procedures to assess the Overall Data Quality including the four (4) dimensions of: i) Validity; ii) Integrity; iii) Completeness; and iv) Consistency.
  • Monitor the results of building audits to prepare a baseline Real Estate Inventory data quality scorecard and establish a baseline percentage score for both the Overall Data Quality of Real Estate Inventory data and percentage baselines scores for each of the four dimensions of Data Quality.
  • Produce a data quality scorecard twice annually at the end of Q2 and Q4 to demonstrate progress against targets.
  • Develop and lead an annual action plan with specific initiatives to improve results and achieve any improvement targets set by Client.
Governance
  • Participate in client meetings to discuss REI status.
  • Supports the development and ongoing management of \'strategic account management\' initiatives for data quality.
  • Collaborates with relevant stakeholders to ensure data integrity of operations data within applicable databases for assigned account(s).
Service Level Performance Measurement
  • Collaborates with the client and account leaders to identify and establish performance metrics, baseline levels and improvement targets- for REI and data quality.
  • Compiles, monitors, measures, analyzes and reports performance results for data quality and REI processes.
  • Conducts root cause analysis and identifies business issues contributing to performance gaps.
  • Recommends solutions to remediate performance gaps and resolve business issues.
  • Collaborates with account leaders to develop action plans to remediate performance gaps for and resolving business issues.
Process Improvement & Strategic Initiatives
  • Supports process improvement efforts. Conducts business process audits and analysis to determine process effectiveness and to identify areas for improvement in REI management and data quality.
  • Supports innovation initiatives through activities including but not limited to maintaining current awareness of industry trends and practices, conducting analysis, utilizing out-of-box thinking to develop and recommend innovative solutions.
Reporting and Analysis
  • Maintain awareness of best tools, methodologies to provide advanced analytics for assigned account(s) and client management.
  • Develops and maintains advanced reporting tools for managing assigned account(s) performance.
  • Executes and delivers client reporting and analytical requirements as well as reporting and analysis for quarterly business reviews.
Safety Ownership and Regulatory Compliance:
  • Comply with all internal and external requirements including but not limited to environmental, health and safety, fire protection and mandated by BGIS Health Safety and Environment Teams and enforced by law.
KNOWLEDGE & SKILLS
  • University graduation in business administration, or relevant technical degree.
  • More than 2 years of strategic analysis, business analysis or continuous improvement work experience (grade range reflects this experience).
  • 2years of facility services administration work experience.
