We are currently seeking a
Quality Systems & Document Control Coordinator
to support our growing operations. This office-based role is responsible for maintaining our quality documentation, managing certifications and compliance records, and overseeing document control processes across the organization.
Roles and Responsibilities
Own the document control system for all QC records, certifications, and company file systems.
Work with Production, Drafting, and Project Management to keep documents and records updated and properly stored
Maintain and update all quality-related documents including OSPs, procedures, WPDS records, safety forms, inspection reports, and certification files.
Manage controlled documents for all departments, including numbering, version control, approval tracking, and archiving.
Maintain project-related document control registers and issue documents to internal and external stakeholders as required.
Track certification and compliance requirements including CWB, CSA, equipment certifications, and safety training records.
Prepare documentation packages and support internal and external audits.
Build and maintain standardized workflows for document updates, approvals, and revision control.
Maintain digital and physical filing systems to ensure accuracy, organization, and accessibility.
Support quality processes by performing basic visual inspections and documenting quality checks when needed.
Oversee basic office management tasks including ordering supplies, and keeping common areas stocked and tidy.
Provide administrative support to the President.
Other duties as assigned.
Qualifications
2+ years of experience in Quality Assurance, Document Control, or a manufacturing/industrial office environment.
Experience with document control such as SharePoint, or similar platforms (asset).
Strong proficiency in Microsoft Office (Excel, Word, Outlook).
Excellent organization, attention to detail, and time management skills.
Ability to work in a fast-paced environment with competing priorities and deadlines.
Strong interpersonal and communication skills with the ability to collaborate across multiple departments.
Experience with certification or compliance programs (CWB, CSA, COR, or similar) considered beneficial
Basic understanding of manufacturing or fabrication environments is beneficial.
