Job Summary


We are seeking a detail-oriented and motivated Inventory Coordinator to support and strengthen our purchasing and inventory control operations.

The ideal candidate is proactive, highly organized and comfortable taking ownership of both daily transactions and longer-term process improvements. This position offers the opportunity to help shape how GBS manages purchasing and inventory as the company continued to grow.

DUTIES



Purchasing and Vendor Coordination



Create and manage purchase orders for parts, accessories, and equipment. Communicate with vendors to confirm pricing, lead times, and shipment details. Track and follow up on outstanding or delayed orders; maintain vendor records and contact information. Gather updated cost data from vendors and assist with item creation and pricing updates in QuickBooks. Collaborate with Accounting to reconcile PO receipts, invoices, and credits

Inventory Control & Data Management



Maintain accurate inventory data in QuickBooks, ensuring quantities, costs, and locations are correct. Support the receiving of inbound shipments: verify quantities, condition, and documentation. Investigate inventory discrepancies and coordinate with Warehouse and Accounting to identify root causes. Lead periodic and year-end physical counts in the parts room; assist with cycle counts and write-off documentation. Prepare inventory reports, monitor slow-moving or negative items, and recommend corrective actions.

Sales & Internal Support



Respond to Sales and Service inquiries regarding: Stock availability, part dimensions, and lead times. Freight quotes and shipping timelines (in collaboration with Warehouse). Coordinate with Warehouse, Service, and Accounting to ensure seamless order flow and data accuracy.

Claims, Warranty, and Returns



Manage and track carrier (UPS) claims for lost or damaged goods. Process and follow up on warranty claims with manufacturers. Oversee the write-off process for damaged or obsolete parts in coordination with Operations and Accounting.

Qualifications



Experience in purchasing, inventory management, or supply chain coordination preferred. Strong understanding of purchasing workflows and inventory control principles. Proficiency in ERP systems and Microsoft Excel; QuickBooks Desktop experience is an asset. Excellent communication, negotiation, and organization skills. Comfortable working cross-functionally with Accounting, Warehouse, and Service teams. Hands-on approach with strong attention to detail and follow-through. Process improvement training is considered an asset.
Job Type: Full-time

Pay: $55,000.00-$65,000.00 per year
