optimistic, and energetic, must be customer service focused and be committed to our organization and values. The Purchasing Coordinator must exercise tact and diplomacy when dealing with CHC customers and represent CHC in a positive manner.
Working under the direction of the Purchasing Manager, the Purchasing Coordinator is responsible to assist and lead in a wide variety of procurement functions. This includes taking an active role to support the department in day to day functions, provide excellent customer service, and possess strong communication skills which are required to build and maintain good working relationships with external vendors and internal customers.
Primary Responsibilities:
  • Responsible for assisting in ensuring compliance of CHC Procurement Policy and Procedures.
  • Assist in coordinating the renewal of service contracts, including creating appropriate bidding documents as they apply to CHC procurement procedures.
  • Collaborate and assist with the development and roll-out of CHC Purchasing Policies and Procedures. Including, inter-departmental communication and implementing required changes, creating/revising purchasing templates and policy software.
  • Maintain CHC Supplier database as directed.
  • Analyze data and prepare reports for the Purchasing Managers review as it pertains to contracts, cost saving projects, spending and other data analysis as required.
  • Assist in the development of a Quality Control Program, monitor and report supplier KPI data and various procurement target goals.
  • Maintain database information and Purchasing Department\xe2\x80\x99s requirements for Yardi/Vendor Caf\xc3\xa9.
  • Participate in supplier communication and feedback to resolve various issues as directed, source potential new vendors as directed.
  • Drive continuous improvement by identifying new suppliers, leading and/or supporting process optimization efforts, bulk buying opportunities, negotiate and establish best value terms including price, delivery, performance and quality.
  • Coordinate and maintain storage of all purchasing related files (electronic and hard copy) as directed.
  • Facilitate and coordinate the annual PPOs as directed.
  • Monitor and report monthly purchase order activity as well as ensuring closure of expired PO\xe2\x80\x99s.
  • Developing and coordinate inventory tracking controls, procedures and forecasting supplies for various locations within the corporation.
  • Research and maintain knowledge of current and future Social Housing Procurement conditions and practices.
  • Supporting role to resolve various purchasing questions and issues.
  • Provide customer service to internal stakeholders on how to procure quotes, creating purchase requisitions, prepare purchase/work orders for various goods and services as needed.
  • Monthly reconciliation of invoices to purchase orders, department credit card statements and other Accounting related issues.
  • Participate in Tender opening process as required.
  • Organize weekly departmental meeting including updating open issues decks, meeting minutes.
  • Complete and participate in, CHC mandated training. Be attentive and adhere to CHC Corporate policies and procedures.
  • Provide coverage for the Asset Management Assistant position, as needed.
  • Other duties/projects as assigned from time to time.

Requirements:

At CHC discretion, an equivalent combination of work experience and secondary education in a relevant field may be considered where the equivalent is greater than the minimum criteria for the position.

  • Two-year Diploma or Associate\xe2\x80\x99s University Degree in Business related field.
  • Two (2) years previous purchasing experience including direct experience working with, database maintenance, purchasing processes, policies and procedures.
  • Accurate analytical and mathematical skills for evaluating and comparing costs to process information logically and create reports.
  • Advanced knowledge and experience using Microsoft Office 365 products (Word, Excel, Project), this includes having a demonstrated ability to create pivot tables, charts, reports and graphs for presentations.
  • Ability to adapt, manage and learn new software innovations and products.
  • Ability to work independently, within tight deadlines and prioritize task driven activities to meet completion schedules while maintaining accuracy.
  • Provide new innovated and strategic, value added, content to the purchasing department.
  • Previous participation or leadership in continuous improvement activities.
  • Strong negotiations skills.
  • Excellent organizational, verbal and written communication skills, adaptability and flexibility within the workplace environment.
  • Strong customer service focus.
  • Experience with handling confidential or sensitive corporate data and knowledge of applicable privacy laws.
  • Ability and willingness to continue education in Public Procurement if required.
  • Acceptable police clearance will be required.
  • Possession of a valid Ontario Driver\xe2\x80\x99s License class \xe2\x80\x9cG\xe2\x80\x9d, current valid insurance, and the use of a personal vehicle for work purposes may be required.
  • Experience with Yardi will be considered an asset.
  • Completion of, or enrollment in, a Project Management Association Canada (PMAC) accreditation, Ontario Public Buyers Certificate, or Supply Chain Management Professional Certification, will be considered an asset.
