We are seeking a client-focused and detail-oriented individual to join the team as

Provincial Communications and Veterinary Administrative Assistant

as part of our animal hospital team. This position acts as a communication point between the Tartan Tails Hospital team and our community - providing assistance, information, and resolutions in a professional and service-focused manner. The ideal candidate for this position will encourage and support a positive team environment, have proven customer service experience and excellent communication skills, be highly organized and professional in their approach, and committed to the ongoing work of the Nova Scotia SPCA..

The successful candidate for this position will be working in a communications-focused environment, responsible for inbound and outbound communications for the Tartan Tales Animal Hospital directly from the public, while providing administrative support to the Hospital team and the SPCA Provincial Office. This position is crucial to our goal of developing positive, lasting relationships with the communities we serve, and keeping client satisfaction at the core of every decision and behaviour.

Key Duties and Responsibilities:


Communications:



Manage inbound calls, emails, and messages to ensure effective and timely resolution of customer issues. Place outbound calls, emails, and messages to verify customer satisfaction and/or to educate the public regarding Hospital or SPCA services & programs. Interview clients during telephone calls to obtain information useful in providing effective solutions. Booking hospital appointments and answering hospital inquiries via phone and email Proffer advice and recommendations concerning services and programs. Ensure compliance with set standards of customer service when conversing with clients. Create and maintain customer accounts and records of inquiries or complaints as well as logs of interaction with customers. De-escalate difficult calls and ensure their challenges or issues are addressed properly. Manage large amounts of inbound and outbound calls in a timely manner. Follow communication "scripts" when handling different topics.

General and Administrative Responsibilities:



Provide administrative support to the hospital team and provincial office with reception services, processing mail, taking meeting minutes, filing, and preparing and proofreading correspondence, reports, and other administrative tasks as requested. Assists college team by answering questions and providing information, locating desired information and materials, typing, collating, preparing and/or proofreading correspondence, and other material. Provide information to students regarding questions about SPCA College programs and directing inquiries to relevant staff members. Contribute and encourage a positive team work environment that encourages knowledge of, respect for, and development of skills to engage with a spectrum of cultures or backgrounds. Provides support to various SPCA Programs as requested. Including but not limited to the Pet Pantry, Spay & Neuter, PUP, Paws and Support and TNR Programs. Assist with donor recognition and receipting. Responsible for conveying accurate and appropriate information to donors by phone or in person. Supports the department by performing all other duties as assigned.

Required Experience, Skills and Qualifications



Proven experience in customer service or client support role. Customer focused, service delivery mindset. Experience working and navigating CRM/Customer Database software. Experience in maintaining confidentiality and handling sensitive information appropriately. Familiarity with office phone systems and managing multiple lines efficiently. Strong English language verbal and written communication skills are a requirement of this position. Excellent attention to detail, especially with data entry. Strong organizational skills with the ability to multitask effectively in a fast-paced environment. Strong task, priority, and time management skills. Proficiency in Microsoft Office and Google Suite applications. A valid driver's license is required. Comfort working collaboratively and effectively in a team setting, and across all levels of the organization with various stakeholders. High level of enthusiasm for results, and maintains a professional approach to all interactions; Excellent people skills. Completion of a related post-secondary program would be considered an asset. Experience working in a animal hospital or clinic would be considered an asset. Experience working in a not-for-profit or charitable organization would be considered an asset. Experience working with volunteers would be considered an asset.

Physical Requirements



Physical ability to sit, as well as walk and/or stand on your feet throughout a normal workday is required. Physical ability to lift and carry 40 pounds Working conditions may include working alone, working outside in varying weather conditions, frequent interruptions, and evening and weekend on-call work.

Hours of Work



Work responsibilities require a minimum of 32 hours per week plus additional overtime as required to fulfill the duties associated with the position. Willingness to work a flexible schedule - including some evenings and weekends - is an important consideration for this position.
