We're looking for a Proposal Coordinator in our Toronto office to support the proposal team with not only proposal coordination, production, and submissions, but to also assist with content and knowledge management.

What will your day look like?

You'll be part of a tight-knit, independent Proposal Team that work cohesively with engineers and project managers to respond to RFPs, RFQs, etc. effectively and strategically. Our team consistently works together to uncover new ideas on better processes and how to get the job done.

As the Proposal Coordinator, you will not only be responsible for coordinating the Proposal Team's production, but you will also oversee RVA's resume and project profile database.



Duties:



Manage and oversee the proposal tracking, proposal production, and submission process to ensure on-time arrival, including liaising with administrative and technical teams, office services, and IT as required. Send out regular emails to Principals and Proposal Leads to ensure forms,

letters, and other vital items are complete and submitted for proposal package.

Manage proposal appendices for ongoing proposals (CVs, reference projects, appendix covers, forms, etc.) for Proposal Writers.

Coordinate schedules and activities as well as tracking progress and results to help keep proposals on track. Oversee and maintain proposal calendar and tracking of potential and approved proposal pursuits. Organize and actively lead proposal status meetings. Manage proposal submissions in the absence of the Research Librarian. Manage and oversee RVA's selected automation software and maintain an up-to-date library of CVs, reference projects, proposal content, presentations, and project photos. Write and edit CVs and reference projects as required in RVA's selected

automation software.

Liaise with software staff to ensure IT issues and concerns are handled. Manage software updates, new rollouts, etc. and ensure RVA staff are regularly trained on software. Coordinate and manage regular updates and editing for CVs and reference

projects with staff.

Manage and oversee monthly client relationship meeting reports from RVA's

CRM system.

Prepare reports for our President's Blog, monthly CRM meetings, and quarterly Principals' meetings. Provide analytical support through the preparation of regular proposal reports.

Qualifications:



Bachelor's degree, or equivalent diploma, in Communications, English,

Marketing, Business Administration or related field.

3-4 years of proposal-related experience is required. Previous experience in a professional service firm is preferred. Strong analytical experience and a keen sense of granular details, along with

advanced knowledge on creating reports via Excel.

Intermediate knowledge of Office 365. This includes Word, Excel, SharePoint, Teams. Able to manage and prioritize changes and enforce deadlines to ensure on-time delivery of proposals. Proactive and overall willingness to participate and help with ongoing projects and initiatives. Experienced with leading direct coordination with officers of the firm. Entrepreneurial, confident, and a self-starter with the ability to take initiative and manage adversity. Ability to communicate with peers, to gauge their needs, and carry out the necessary services being requested. Strong interpersonal skills with the ability to work as a team with staff at all levels throughout the company. Comfortable in working in a completely electronic environment for document filing and communications. High level of attention to detail to ensure compliance with public-sector client

requirements.

Independent thinker with mature professional judgment. Ability to work independently and as part of a team in a fast-paced environment and work under pressure. Positive attitude and enthusiasm.

Assets:



Proposal writing/editing experience and familiarity with public sector RFPs. Able to convert complex technical information into everyday language easily

understood by a general audience.
