The responsibilities will include maintaining coordination of meetings and the deliverables required from the proposal team across various regions; maintaining electronic documentation for proposals and contracts; managing proposal content, contract exceptions logs and deadlines; and writing content to ultimately assist in producing winning proposals that reflect the organization\xe2\x80\x99s strategic vision and goals.

You will bring a minimum of 1 year of experience working in a complex business environment, with extensive writing, verbal communication, and presentation components as part of the work experience.

This is a permanent position for our Calgary corporate office located downtown. This position will report to the Lead, Proposals Management.

What would you be doing?

  • Develop proposal documents, including but not limited to project profiles and resumes, and create proposal templates;
  • Assist and coordinate requests from the Proposal Team;
  • Assign proposal related tasks to the appropriate departments and ensure that contributors submit complete information by the deadline; edit contributors\xe2\x80\x99 work for content and grammar;
  • Edit and proof all written, technical components of proposals for content, conciseness, active voice, and correct grammar;
  • Confirm the accuracy of each proposal\xe2\x80\x99s content, including but not limited to phone numbers and reference information;
  • Plan, design, and format proposal layouts, and update as required as well as research client and project information to provide thorough and thoughtful proposals;
  • Analyze RFQ, RFP, and EOI documents to ensure submissions are attentive, creative, articulate, and compliant;
  • Following internal processes including the opportunity gate process \xe2\x80\x93 scheduling meetings, monitoring action items, assembling approval documents;
  • Assist the Project Development team with technical writing (i.e., Q A, taking notes, writing, and revising accordingly);
  • Following contract checklist to highlight key risk items in contracts associated with proposals;
  • Provide grammatical and writing support to the Project Development team and colleagues;
  • Do preliminary review of contracts to provide to Contract Specialist for review, transfer exceptions into logs as required;
  • Management documents in contract database as required.

  • Demonstrated organizational skills with the ability to prioritize work while meeting deadlines and achieving desired results.
  • Excellent computer skills, particularly in Microsoft Office suite.
  • Ability to create and maintain accurate and organized
  • Degree or a related diploma in Business, English, Technical Writing/Editing, or Communications. A combination of education and relevant experience may be considered.
  • Excellent attention to detail.
  • Experience with Salesforce is considered an asset.
  • Experience in Oil and Gas is considered an asset.
