The Proposal Administrator reports to the Director Proposal Development. Working closely with the PDC team and ADGA sales and delivery, Proposal Administrator is required to maintain a list of current and future sales opportunities and support the PDC team as required. They are responsible for executing the processes and procedures of the Division, and supporting the mission, the vision and the strategy of the Corporation as approved by the Executive Management Team.

  • Responsible for supporting the PDC Division to ensure that it meets the goals and objectives as directed by the Executive/SMC.
  • Responsible for the day-to-day maintenance of proposals opportunity list.
  • Reviewing daily the designated procurement sites, for new business opportunities in the interest of the company and compiling all identifiable listings for distribution to sales/delivery and to senior management and other interested parties.
  • Posts information and/or updates in both Salesforce and SharePoint
  • Ensures that the general proposal email delivery box is actioned on a daily basis and that notifications have been made to interested parties.
  • Manages and maintains documents and files including RFPs and amendments.
  • Maintains and prepares reports, verifying information from multiple sources.
  • Coordinates monthly financial statement for costs incurred from procurement sites
  • Responds to telephone or electronic enquiries and ensuring the timely passage of information to the appropriate person.
  • Manages documents for distribution, mailing and filing.
  • Reviews all documents for completeness, accuracy and presentation of material.
  • Ensures proper formatting and presentation of information.
  • Support new employees on arrival as required.
  • Maintains and updates training material for the administrator position.
  • General administrative support and other duties as required.


Qualifications
  • 1-2 years working experience or a combination of relevant education and experience
  • Experience with Canadian Government Requests for Proposals (RFPs), private sector solicitations and online Vendor procurement sites (e.g. MERX, Buy and Sell) considered an asset.
  • Previous experience within a proposal team considered an asset.
  • Strong computer background including experience with MS Office. Salesforce and SharePoint would be considered an asset.
  • Must make decisions on work priorities and methods of processes in conjunction with the Director of PDC as required.
  • This position requires an organized individual with an excellent understanding of proposal and administrative procedures normally acquired through formal education in business administration or technical writing and proven work experience.

Additional Information
  • Must be able to obtain and maintain a government secret clearance
  • Bilingual is an asset
