Job Description

Property Manager

oversees operations, finances, and tenant relations of a 93 unit apartment building in Sudbury, Ontario. The Property Manager is responsible for the business and operational success of the apartment building -- overseeing finances, leases, tenant relations, legal compliance, and long-term value, while delegating day-to-day physical tasks to live-in building caretaker and contractors.

We have property management software Buildium system in place.

Compensation: C$70,000 - C$85,000 annually

(flat monthly fee, negotiable based on experience).

Performance Bonus

: Additional bonuses up to

$32,000

may be paid for occupancy targets, cost savings, or project completion.

Financial Management



Collect and record rents, track arrears, and implement rent collection processes. Prepare and manage annual operating and capital budgets. Approve invoices, track expenses, and provide monthly financial reporting to owner. Recommend and oversee cost-saving initiatives to improve NOI (Net Operating Income). Prepare monthly financial reports to Owner Assist in preparing annual operating and capital budgets.

Leasing & Tenant Management



Advertise and market vacant units through listings, signage, and digital platforms. Screen and select tenants (applications, credit checks, references). Draft, review, and enforce lease agreements. Manage lease renewals, rent increases, and tenant move-ins/move-outs. Resolve tenant complaints in a professional manner within 48 hours (non-emergencies). Issue N forms Represent in court hearings Conduct tenant move-in and move-out process

Building Operations & Maintenance Oversight



Supervise and direct the live-in building caretaker on daily building maintenance and cleaning tasks. Conduct regular building and unit inspections Schedule, negotiate, and oversee contractors for major repairs, unit turnover, capital improvements, and services (e.g., snow removal, landscaping, HVAC, plumbing, elevators). Develop preventative maintenance schedules are followed (HVAC, plumbing, electrical, fire systems).

Health, Safety & Legal Compliance



Ensure compliance with building codes, fire regulations, and municipal/provincial laws. Stay up to date on landlord-tenant legislation (e.g., LTB, rent control regulations). Handle legal processes related to tenant disputes, evictions, and lease enforcement. Maintain accurate records of inspections, safety checks, and certifications.

Administration & Reporting



Maintain tenant files, lease agreements, and financial records. keys storage organization Provide owners with detailed quarterly/annual reports. Prepare documentation for audits, insurance, and regulatory reviews. Create and implement property policies and procedures.

Tenant & Community Relations



Build positive tenant relations to encourage renewals and reduce turnover. Organize tenant communications (notices, newsletters, updates). Mediate disputes between tenants or between tenants and management. Foster a safe, welcoming, and well-managed community environment.

Qualifications



3-5 years of proven experience managing multifamily or residential properties (100+ units preferred). Strong knowledge of the Residential Tenancies Act (Ontario). Experience in budget preparation, financial reporting, and property accounting. Ability to manage contractors and coordinate building projects. Strong interpersonal and conflict resolution skills. Proficiency in property management software (e.g., Yardi, Buildium, MRI, or equivalent) and MS Office.

Key Deliverables



Monthly financial and operational reports. Annual operating and capital budget. Timely rent collection and arrears management. High tenant satisfaction and low turnover. Regulatory compliance across building operations.

Contract Structure



Contract Type: Independent Contractor Agreement

Compensation: C$70,000 - C$85,000 annually (flat monthly fee, negotiable based on experience and scope).

Performance Bonus

: Additional bonuses up to

$32,000

may be paid for occupancy targets, cost savings, or project completion. Term: 12 months, renewable by mutual agreement. Invoicing: Contractor to invoice monthly for services. Expenses: Contractor responsible for own business expenses, insurance, and statutory remittances.
