What this job involves:



JLL is seeking a dynamic and customer-oriented individual to join our Property Management Team at one of our client's downtown commercial portfolio. As a vital member of our team, you will serve as the primary point of contact for clients and tenants, making a lasting impression as the "face" of our property.



In this role, you will play a crucial part in ensuring the smooth operation of our buildings by efficiently handling tenant inquiries and providing exceptional administrative support. We will rely on your level-headedness and professional demeanor to handle sensitive and urgent requests.

What your day-to-day will look like:



Answer incoming inquiries via email, calls, and in person, directing them to appropriate parties for optimal service.

Provide general administrative and reception support for Property Management and Building Operations team.

Assist with scheduling, resource bookings, tenant maintenance requests, correspondence, and managing confidential information.

Perform clerical/administrative tasks as assigned, including mail collection and distribution.

Maintain cleanliness of office common areas and order office supplies.

Coordinate supplies and uniforms for Building Operations team, ensuring accounts are up to date and uniforms are tagged appropriately.

Address vendor payment inquiries.

Process invoices for assigned building, including matching purchase orders, coding invoices comply with budget schedules and compiling and verifying batches submitted accounting.

Assist with accounts receivables when required.



Required Qualifications:



2+ years of experience in an property administration role

Proficient computer skills. Microsoft Office - Outlook, Word, Excel, PowerPoint.

Excellent customer service skills with ability to deal with tenant needs through both written and verbal communication

Proven organizational and time management skills; able to cope with changing tenant needs and deliver successful results within agreed upon time frames



Preferred Qualifications:



Relevant post secondary education preferred
