This role will report to the Senior Property Manager, and will support one of our Property Management Zone based in the Greater Vancouver Area. The Property Administrator will be responsible for various services related to the operation of a portfolio of retail properties, including bank deposits, accounts receivable (AR) reporting, accounts payable (AP) processing, budgeting, supplier invoices, and rent roll review, and tenant liaison and communication.
PRIMARY RESPONSIBILITIES:

  • Provide administrative support to the Property Management Zone.
  • Conduct review of the monthly rent-roll and pre-authorized debit report.
  • Perform accounts receivable reporting, including bank deposits and form filling, and inputting and maintaining accounts receivable commentary.
  • Prepare and process P.O.s and accounts payable invoices.
  • Send, collect and process various tenant chargebacks.
  • Oversee the payment of utilities, track billing and assist with collection of data for ESG and charge backs.
  • Prepare manual tenant statements of accounts and manage account reconciliations.
  • Issue demand, default, or termination notices to tenants and provide related reporting.
  • Review and prepare tenant notification letters, stop billing notices, last month's rent application, and security deposit application.
  • Prepare and issue tenant refunds.
  • Assist with monthly and annual budgets.
  • Monitor, track, and collect tenant insurance and tenant sales reports.
  • Prepare check lists for tenants' move-in and move-outs while ensuring all documentation are completed.
  • Administer and monitor service contracts in addition to the review of vendor and contractor performance.
  • Dispatch maintenance and security to tenant calls.
  • Liaise with the Operations team to facilitate smooth day-to-day site activities.
  • Liaise with property accountants, lease administrators, and legal to ensure the accuracy of tenants' information.
  • Perform reception duties on a rotational basis, including answering and dispatching incoming calls, distribution of mail, and ordering of office supplies.
  • Participate in special projects and take on other duties as assigned.
KNOWLEDGE, EXPERIENCE AND SKILLS:
Preferred level of education and job-related experience:
  • One (1) to three (3) years of commercial or retail property administration experience.
  • Post-secondary education, preferably in business, accounting or related field as an asset.
Specific skills needed to be successful:
  • Proficiency in accounting and financial management (AP or AR).
  • Strong customer service orientation with well-developed communication skills to effectively communicate across all levels within and outside the organization.
  • Excellent planning and organizational skills.
  • Proficiency with Microsoft Office and intuitiveness for learning new applications.
  • Experience working with JDE and Building Engines would be an asset.
