Property Administration Assistant
We are looking for a highly motivated Property Administrative Assistant to support the Residential Administration team. You will be responsible for processing vendor payments, liaise with vendors, Property Managers and accounting personnel.

As a member of this team, you will be responsible for:
Receiving all correspondence from vendors and sites across Canada
Coding and processing all invoices in accordance with company policies
Ensuring all signatories have been applied
Directing approved invoices to appropriate accounts payable department for finalization
Reviewing all monthly financial reports
Maintaining accurate vendor files and ensuring all requirements are up to date including; record keeping of quotes, contracts, expiry, and renewal dates
Assisting the Property Administrator with preparation and distribution of correspondence
Booking travels and accommodation
Distribute mails to the teams
Managing incoming calls
Assisting Property Administrator with preparation and distribution of correspondence
Assisting in other various administrative tasks.
Ordering office Supplies, business card
Processing Expense Report
Following up on various questions from vendors, tenants, site and accounting personnel
Assisting Special Projects
Co-ordinate special events and booking fights
To succeed in this role, you:
Have a minimum of 2 to 3 years experience with Accounts Payable, Administration and/or Property Management
Education: College diploma or undergrad in Accounting or Business Administration
Have experience with JD Edwards, or similar accounting software
Demonstrate proficiency in Microsoft Office (advanced Excel)
Embrace collaborative sharing of knowledge within a teamwork environment
Must be able to multitask among several competing priorities
Have excellent prioritization and time-management skills
Thrive in high volume and fast paced environment
Have strong customer service mindset
