The Condominium Accounting Administrator is responsible for managing the financial records and transactions of condominium corporations. This role ensures accurate accounting, timely processing of payments and receivables, preparation of financial reports, and compliance with condominium financial regulations. The ideal candidate is detail-oriented, organized, and has a strong understanding of accounting principles and property management operations.
Key Responsibilities:
Accounts Payable & Receivable
Process vendor invoices and issue payments in accordance with company policies and budget approvals.
Record and reconcile owner payments and deposits.
Follow up on delinquent accounts and prepare arrears reports.
Liaise with legal for collections if necessary.
Banking & Reconciliations
Perform monthly bank reconciliations for multiple condominium corporations.
Prepare and maintain cash flow forecasts.
Ensure proper coding and classification of financial transactions.
Financial Reporting
Assist in the preparation of monthly financial statements for each condo corporation.
Maintain general ledgers and supporting documentation.
Help prepare annual budgets and assist in year-end audits with external accountants.
Communication & Support
Respond to accounting-related inquiries from owners, board members, and auditors.
Provide administrative support to Property Managers regarding financial matters.
Attend board meetings as needed to present financial information.
Compliance & Record-Keeping
Ensure compliance with Condominium Act, local legislation, and GAAP.
Maintain accurate records for audits, reserve funds, and financial reviews.
Update records and filing systems, both digital and physical.
Qualifications:
Diploma or degree in Accounting, Finance, or a related field.
2+ years of experience in accounting, preferably in property or condominium management.
Familiarity with condominium accounting principles and the Condominium Act.
Proficiency in accounting software (e.g., Yardi, Condo Manager ,Sparc Pay QuickBooks, or property-specific systems).
Strong Excel and general Microsoft Office skills.
Excellent attention to detail and organizational skills.
Strong communication and interpersonal abilities.
Ability to manage multiple accounts and deadlines.
Preferred Qualifications:
Experience with property management software (e.g., Yardi, Condo Manager, Building Link).
Knowledge of reserve fund studies and budgeting in the condominium context.
Bilingual (if applicable in your region).
Working Conditions:
Office-based with occasional evening board meetings.
May be required to attend AGM or financial review sessions.
