Job Description



Job Duties:

  • Performs word processing duties such as inputting client information, maintaining relevant registers, updating manuals, and preparing medical, legal, and other reports, charts, tables, letters, presentation material, and newsletters from rough draft, general instruction, and/or recording devices, using software applications such as word processing, spreadsheets, graphics, and databases.
  • Sorts and distributes mail, completes forms for signature, and packages items for shipping,
  • Answers general inquiries by telephone and in person from a variety of sources such as clients, Contractors, staff, and the public, and provides direction refers problems to supervisor.
  • Performs record management duties such as setting up and maintaining numeric, alphabetical, and subject filing systems, indexing files, and materials to be filed, and conducting file searches for requested information.
  • Composes and signs general correspondence such as appointment confirmations, payment reminders, and information requests. Drafts correspondence for review and signature.
Gathers and compiles information as required, such as client information and statistics.
  • Assists with client information performing duties such as obtaining information, completing documentation required for tenancy, and liaising with information sources to obtain additional client information.
  • Ensure emergency (fire, earthquake) and safety inspections, drills, VRA\'s, suite audits,
  • Schedule contractors for pest and Fire inspections as directed
  • Purchase and maintain janitorial & other MSDS type supplies
  • Reviews time sheets and enters changes into time and attendance program
  • Coding of invoices
Job Qualifications * Required Qualifications:
  • Grade 12 Office Administration Certificate and/or post-secondary training in office administration
  • Minimum of 2 years related experience and/or an acceptable combination of education, experience and training
  • Proof of COVID 19 Vaccination
  • Ability to obtain Criminal Record Clearance through the Ministry of Justice.

Knowledge and Abilities:
  • Ability to type 60 wpm
  • Advanced computer skills including proficiency with office software programs including: word processing, spreadsheet, email, desktop publishing, web based technology and database management software; experience with Access databases would be an asset Business writing skills and strong interpersonal communications
  • Ability to use initiative in organizing and priorities
