OpenRoad Auto Group is currently seeking to expand our team with a Full-Time Operations Assistant at OpenRoad Auto Group- Head Office.

ROLE & RESPONSIBILITIES:
  • Function as the main administrative support for Senior Management and Executives; while simultaneously acting as the gatekeeper for external contacts, clients, guests, and other key stakeholders.
  • Compile and document incoming and outgoing communications including phone calls, emails, follow up request, memos, and internal correspondence for Senior Management.
  • Research and provide information around various topics based on the needs of Senior Management and Operations.
  • Assist in planning preparing meetings and events including: travel arrangements/itineraries, team conferences and appointments.
  • Oversee Operations administrative duties including but not limited to; scheduling, email correspondence, compiling reports, meeting preparation, pick-ups and deliveries.
  • Taking meeting minutes and as requested by the Senior Management and Operations Heads.
  • Proofreading, editing, and formatting draft correspondence prepared by Senior Management.
  • Collaborate with dealerships and departments on administrative projects/initiative
  • Must follow Company safety policies and practices, and immediately, report any and all accidents to a Manager/Supervisor.
  • This position will be expected to perform other duties as assigned by management.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Have a high degree of discretion and maintain confidentiality.
  • Excellent written and oral communication skills
  • Excellent organization, prioritization, multi-tasking skills
  • “Can-do Attitude”, highly resourceful, with willingness to support others.
  • Ability to communicate with all levels of the organization, and to assimilate and understand information, in a manner consistent with the essential job functions.
  • Ability to make sound decisions in a manner consistent with the essential job functions.
  • Ability to work constructively with members from all departments within the dealership.
  • Minimum of 2 years’ experience working as an administrative assistant, Operations assistant, or in a similar position performing office manager duties.
  • High degree of accuracy & detail oriented.
  • Excellent time management and prioritization skills.
  • Proficient with Microsoft Office (Outlook, Teams, Word, Excel, and Power Point).
  • High School Diploma required, Bachelors in Administration or Business degree is an asset.
