Our client, a very well established Architecture, Design and Planning firm with an office in Calgary and is currently seeking a Project Administrator / Office Administrator to join their team. You will be working for a leading-edge, smaller firm of motivated architects and designers.
As a dedicated individual with experience working within either an Architecture or Engineering firm, you will work in a dynamic role consisting of architectural related tasks pertaining to projects and contracts, as well as administration and office duties.

  • Involvement in various duties supporting the Architecture department, such as working with contracts
  • Some contract and project administration duties
  • Provide flexible, reliable administrative support
  • Manage correspondence, scheduling, working with project managers
  • Client liaison, support and meeting coordination
  • Coordinate various activities and tasks with the architects
  • Update and maintain electronic files, project documents, tracking logs and databases
  • Carry out research for special projects and initiatives
  • Occasional site visits with project teams to assist with site reports
  • Archive project files and documents
  • Address emails follow up on various correspondences
  • Assist with processing expenses and other financial functions
  • Enter data into various systems
  • Other duties as required
Qualifications and Experience
  • Experience working in a similar position within the i.e. Architecture / Engineering / Design or Construction industry is essential
  • A minimum of 4 years of office assistant/administration or executive assistant experience
  • Hands on technical experience in architecture or engineering pertaining to contracts is highly desirable
  • Proficient in Microsoft Office (Excel, Word), some basic accounting skills are an asset
  • Possess secondary education - a degree or diploma
  • Strong ability to multi-task and an (exceptionally) high attention to detail
  • Incredible follow-up and a strong sense of personal accountability.
  • Excellent communication skills, well spoken and presented
  • Ability to work with minimal supervision
  • Confidence to work with executives and principals and the ability to build trust and relationships
  • Someone who exudes a warm, personable character
