Job Summary
The Project / Research Coordinator will be actively involved in the planning, development, implementation, and maintenance of digital initiatives led by the Digital Lab (an integrated unit of BC Children's Hospital and the University of British Columbia's Department of Pediatrics). The aim of the Digital Lab is to improve the lives of children and families through digital innovation and technology.
Reporting to the Operations Lead, the Project Coordinator leads the coordination of day-to-day project development across the different functional teams and serves as a primary liaison between the various stakeholders that support the Digital Lab, our partners, and our internal team.
Organizational Status
This position will report to the Operations or Research Lead within the Digital Lab, but work closely with cross-functional leads in executing on project plans (i.e. product management, design, research and evaluation, biomedical engineering, operations and project management, etc.)
Work Performed
Coordinates the execution of projects, assuring that they are efficient and adhere to protocols
Align and coordinate production and development processes across the Digital Lab, in collaboration with functional leads and product management
Maintains product road-maps, plans, schedules and budgets for projects and operations
Organizes and facilitates Sprint Planning, Sprint Reviews, and daily stand-up meetings
Support, facilitate and monitor continuous improvement and removal of impediments affecting of the overall project plan
Gathers information from internal and external stakeholders to refine project requirements and iterate project plans with the support of senior members of the team
Triage incoming inquiries by collaborators, clients, and partners to an appropriate resolution.
Coordinate closely with internal and external stakeholders to proactively identify, track, and escalate to resolve incoming issues
Compile information for the development of schedules and timelines
Draft and track progress documents against launch milestones, highlighting blockers, risks and creating mitigation plans
Assist with the allocation of resources according to project plans and resource availability
Maintains internal project documentation including logs and schedules and notifies the Leads of variances from project plans.
Collaborate broadly to achieve key commitments and accountabilities, and act as a liaison between the cross-functional teams and leadership groups
Performs other related duties as required
Consequence of Error/Judgement
Work requires judgment and initiative. Errors could have a significant impact on the success of project and operational delivery, which subsequently effects on the success of the Digital Lab and negatively impact the overall aims of the Department of Pediatrics.
Supervision Received
This position is co-supervised by the Operations or Research Lead (regular supervisor), and the Head, Digital Lab. Staff are empowered to execute their responsibilities and work independently. Work is measured in terms of the contribution to the team's achievement of both project objectives, and operational efficiency in delivery. There should be an expectation of periodic guidance and review.
Supervision Given
Work requires judgment and initiative. Errors could have a significant impact on the success of delivery. Therefore, this role is primarily focused on the facilitation, coordination and Agile coaching activities.
Minimum Qualifications
Completion of a relevant technical program or a university degree in a relevant discipline and a minimum three years of related experience or an equivalent combination of education and experience.
Preferred Qualifications
Working knowledge of agile software development and project management principles. Experience in project coordination and/or product management would be a considerable asset. Strong organizational and time management skills are essential. Ability to work well as a member and mediator in a diverse and collegial environment. Excellent oral and written communication, interpersonal and conflict resolution skills required. Ability to exercise sound judgment, multi-task, prioritize and work effectively under pressure to meet deadlines.
