Job Overview
Mr. Lube Canada has an exciting opportunity for a
Project Specialist
based in our Richmond BC office.
The Project Specialist will play a key role in supporting the planning, execution, and delivery of organizational projects to completion. This position ensures that project goals are met on time, within scope, and within budget. The Project Specialist collaborates cross-functionally with departments, manages documentation, tracks progress ensuring assigned tasks are completed through proactive follow-up and accountability and helps ensure alignment between stakeholders and project objectives.
Responsibilities
1. Project Coordination & Execution
Support the implementation of assigned projects, ensuring timelines, deliverables, and milestones are met.
2. Communication & Stakeholder Management
Serve as a liaison between internal teams, vendors, and stakeholders including franchisees to ensure effective communication and project alignment.
Prepare and distribute project status updates, meeting summaries, and progress reports.
Facilitate meetings, track decisions and action items, and ensures assigned tasks are completed through proactive follow-up and accountability.
3. Documentation & Reporting
Maintain accurate and organized project documentation including project charters, work plans, risk logs, and budgets.
Develop presentations, dashboards, and reports summarizing project performance and key metrics.
Ensure compliance with internal standards, policies, and best practices in project documentation.
4. Quality Assurance & Continuous Improvement
Support post-project evaluations and lessons-learned sessions to drive continuous improvement.
Assist in developing and standardizing project management templates, tools, and processes.
Monitor and ensure project deliverables meet quality expectations and stakeholder requirements.
Coordinate project tasks, resources, and schedules in collaboration with project leads and team members.
Track project progress and proactively identify risks, bottlenecks, and dependencies.
Support change management and process improvement initiatives related to project outcomes.
Plan and execute large scale group training from venue selection to budget reconciliation.
Qualifications
Education:
Bachelor's degree in Business Administration, Project Management, Operations, or a related field.
Experience:
2-5 years of experience supporting or coordinating projects in a professional environment.
Experience with project management methodologies (Agile, Waterfall, or Hybrid).
Experience in Franchising industry is an asset.
Technical Skills:
Proficient in project management software (e.g., MS Project, Asana, Smartsheet, Trello, Jira).
Strong Microsoft Office skills, especially Excel, and Word.
Familiarity with data tracking and reporting tools (e.g., Power BI, Tableau) are considered an asset.
