Reporting to the Managing Director, Strategic Planning & Projects, Corporate Services, the primary purpose of the Project Manager is to assist and support the Project Team with the daily management, coordination, and successful completion of Premises projects. Experience with procurement and vendor management within the facility management industry. Experience with change management and communication to multiple levels of the organization.

Projects may span a single year or multiple years and will require the support of other business functions within the organization. In this role, you will support components of a small project or initiative and independently produce pieces of work with key internal and external stakeholders. You will work with stakeholders to ensure that assigned project activities are progressing as planned and are meeting the documented requirements. In addition, this role will be assigned construction or renovation projects and be required to work cross functionally with our system data & analytics team, procurement team, corporate services team, and other business groups to deliver assigned projects.

Key responsibilities:
  • Assists the Managing Director, Strategic Planning & Projects, Corporate Services by taking ownership of assigned projects and tasks.
  • Assists the Managing Director, Strategic Planning & Projects in the definition of project charters, goals, tasks, and overall scope.
  • Manage project tasks, timeline), milestones, and deadlines and takes accountability for ensuring completion of all tasks. This includes creation of a detailed work plan which identifies and sequences the activities needed to successfully complete a project or program.
  • Monitors and manages a budget and completion schedule to support each project or program assigned to them. Ability to monitor cost implications and identify and escalate cost increases.
  • Ability to provide consolidated finance and cost reporting across multiple projects.
  • Work with electronic facility management systems to make data-based decisions across projects.
  • Ability to work cross functionally with our procurement department on requests for proposals.
  • Creates and reviews project charters, work plans and budgets with senior management and all other staff that will be affected by the project activities, revises as required and secures final approval with the oversight of the Senior Project Manager.
  • Applies sound project management methodology practices throughout life cycle of all assigned projects.
  • Must be able to prioritize and complete multiple tasks that may be of varying urgency to the project team.
  • Demonstrates an aptitude to make decision quickly and convey accurate information to the project team and stakeholders.
  • Follows defined methods and procedures to record, monitor and report project progress and issues.
  • Generates timely and concise reports regarding project status and pending issues to mitigate any risk to project budgets and completion schedules.
  • Ensures all project or program activities operate within the policies and procedures of the organization.
  • Ensures that the project or program activities comply with all relevant legislation and professional standards.
  • Fosters trusted relations with core project internal and external stakeholders.
  • Contributes to a program evaluation framework to assess the strengths of the project / program and to identify areas for improvement.
  • Resolves or assists in the resolution of conflicts within and between projects or functional areas.
  • Interacts regularly with members of project team, working committee and oversight committee to determine their needs and to develop plans for improving communication and delivery.
  • Ensures that project status, issues and successes are communicated to project team, stakeholders, and all levels of management and documented appropriately.
  • Supports global Facilities and Office Services team with business analysis, budgets (development, monitoring and reporting) and procurement processes and strategies.
Qualifications
  • A University Degree in a relevant technical discipline (Engineering, architecture, science).
  • Certification in a relevant technical discipline such as Project Management; PMP designation would be considered an asset.
  • Ability to interpret architectural drawing would be considered an asset.
  • 4 or more years\' experience coordinating medium scale Facilities projects
$1M -$10M in value, is required. * Experience in workplace or office construction would be considered an asset.
  • Proficient in Microsoft Office products such as Word, Excel, Project, and PowerPoint.
  • Proficiency in CAD software would be an asset.
  • Experience with facility management or construction projects would be an asset.
  • Experience with vendor management in the facility management industry.
  • Strong analytical, problem-solving, and organizational skills.
  • Strong system, data, and analytical skills.
  • Ability to work independently and in a team environment.
  • Ability to manage multiple clients and projects/tasks simultaneously.
  • Excellent time management, problem solving, prioritization and organizational skills are necessary due to the demands of the position.
  • Strong attention to detail.
  • Excellent written and oral communications skills and ability to liaise confidently with internal and external stakeholders.
