We are on the lookout for a Project Manager to join our team in the beautiful Okanagan Valley. We work on all types of events imaginable and the Project Manager will be responsible for the planning, setting up, running and breaking down of key tradeshows and exhibitions to ensure each event is delivered to the clients full expectations. The position holder proactively meets with clients to determine event needs, quote based on event requirements, provide hands-on delivery and execution of events, and supervises a team of professionals to ensure the show is executed to the highest standard. We deliver events far and wide across Canada and the USA and the project manager is a key player in our event delivery.What you will have the opportunity to do: Plan the project:

  • Actively liaise with clients, venues, and internal team members to determine event requirements
  • Create a detailed work plan ensuring resources availability and allocation
  • Organize and Complete event order / Logistics plan (Client information, equipment pull sheet, labor requirements, truck planning, site details/floor plans, pricing, cross rental)
  • Collaborate with the Exhibitor Services team for appropriate forms and online store needs for show.
  • Determine whether specific permitting / out of province licensing is required for event delivery, obtain as necessary or work with appropriate 3rd parties.
Staff the project:
  • Coordinate and Manage technicians both in Warehouse and On-site during preps, set-up and tear down
  • Prep scheduling and management in conjunction with warehouse
  • Create and Publish Crew Schedules and assign duties to technicians
  • Supervise work quality and performance on-site
  • Answer questions from Technicians
  • Provide training to technicians in-house and on-site as necessary
Control the project:
  • Ensure all gear is loaded and accounted for on load in/out and supervise pack of truck
  • Record all client related changes and process billing accordingly
  • Monitor & manage event costs
  • Keep labor on track, monitoring work hours and managing timelines
  • Successfully manage relationship with the client
  • On-site quality control
  • On-site risk management
Evaluate the project and report:
  • Complete post event reporting and filing
  • Client follow-up post event
  • Finalize invoicing and billing
  • Support other branches and divisions through management of specific events or overseeing particular teams and tasks on larger scale events as needed
  • Perform other duties as assigned and deemed necessary
To be successful in this role you have:
  • 3+ years of experience in a similar role of managing events with preference to Trade Show/Exhibitions planning
  • Have supervisory experience of leading a on-site crew
  • Experience with Vectorworks is a bonus
  • Must have strong communication, critical thinking, and analytical skills
  • Must be extremely detail oriented and have a great sense of urgency.
  • High proficiency in multitasking and keeping to tight timelines
  • Ability to think under pressure and problem solve
  • Have a valid class 5 BC drivers license
  • Comfortable driving large trucks and forklifts
  • Are physically fit and safety minded
  • Have the ability to be flexible in working hours and be available to work outside of regular business hours
The details:
  • Permanent Full Time Position
  • Based in Kelowna, BC but the role involves travel throughout BC and beyond
  • Involves physical labor and the requirement to work in different event venues and locations both indoor and outdoors in environments that are often loud and bright.
  • Relocation assistance may be available for domestic candidates
