As we continue to grow, we are looking for a Project Management Administrator to join our MSP Corp - Softlanding team.
About the Role
As Project Management Administrator you will play a crucial part in supporting our Project Managers by handling a variety of administrative tasks, ensuring the smooth execution of projects, and contributing to the overall efficiency of the Project Management Office. This is an excellent opportunity for someone with strong administrative skills and a passion for project management to gain valuable experience in a dynamic and supportive environment.
• Location: 355 Burrard St Suite 990, Vancouver
• Schedule: Monday to Friday, 40 hours per week, 8:30 a.m. - 5:00 p.m.
• Work Mode: Remote (Visit the Vancouver office a few times per year as needed.)
What You Will Do
• Work with the PMO lead and the Resource Manager to administer the project intake process. Keep clients informed regarding receipt of their orders, PM assignments and next steps.
• Create all new client records in ConnectWise making sure that the accurate client name, address and contact information is reflected.
• Ensure that all project related information and documentation is accurately logged, statement of work and PO's are attached to the client records.
• Create the initial project files in ConnectWise system, making sure data is accurate, statement of work and purchase orders are uploaded
• Create the corresponding project Team/Channel for all new projects
• Create the initial kickoff slide deck for new projects and add them to the project channel for the PM's to complete
• Schedule the internal kickoff meeting for the PM's
• Update the project key contacts in ConnectWise to ensure that the correct people receive the SmileBack surveys
• Assist the Microsoft Program Manager and the PMO lead to manage the funded projects data and work with the PM's to ensure funding deadline submissions are on time
• Work with the PM's during the closure process and upload all communications related to MSPCorp account removal requests and client responses to the project record in ConnectWise
• Assist PM's by monitoring and following up with PS resources who have not submitted their timesheets by the Monday noon deadline.
• Work with the PM's and PMO lead to monitor and clear up "bench" time.
• Update the project closure list with lessons learned. Work with the PMO Lead to automate this process.
• Assist the PMO Lead by monitoring the planned resource allocations and report areas of concerns such as under or over allocation
• Time permitting, coordinate small, funded projects

• Strong organizational and time-management skills, with effective task prioritization
• Exceptional attention to detail and accuracy
• Excellent communication and interpersonal skills for professional interactions
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
• Ability to work independently and as part of a team
• Completion of post-secondary education
• Completion of a one-two year administrative program or relevant experience required
• Experience in the Managed Service Provider (MSP) industry in an asset
