The Project Governance and Controls Specialist will help ensure consistency in alignment of service quality with the goal of continuous improvement in service delivery through oversight for governance, quality, and data integrity through internal audit functions.

This role will work in collaboration with all key BGIS departments and contributors to ensure full support of all project activities and play a key role in our INTEGRATED approach to operating buildings.

KEY DUTIES & RESPONSIBILITIES

Safety Ownership and Regulatory Compliance:

Comply with all internal and external compliance requirements including but not limited to environmental, health and safety, fire protection and mandated by BGIS Health Safety and Environment Teams and enforced.

Analysis and Planning
  • Works with the BGIS Project Management Office (PMO) team, identifies areas for continuous improvement, and participates in development and implementation plans.
  • Conducts KPI analyses and benchmarking and serve as information resource for PDS KPIs.
  • Conducts analysis including but not limited to process analysis and service delivery impact.
  • Supports the Sr Project Controls Manager in the execution and delivery of client reporting and analytical requirements as well as reporting and analysis for quarterly business reviews.
Auditing and Compliance
  • Under the direction of the Sr Project Controls Manager works with the project delivery teams regarding contract, process & client compliance requirements.
  • Identifies and troubleshoots data integration and integrity issues within applicable databases in coordination with the appropriate departments.
  • Conducts business process audits and analysis to determine process effectiveness and to identify areas for improvement. Participates in the review, development, and refinement of business processes.
  • Analyzes verification audits to ensure non-conformities and/or opportunities for improvement are addressed.
  • Analyzes compliance with IO and BGIS processes / methodology. Identify and recommend process improvement opportunities.
  • Supports the tracking of non-conformances and opportunities for improvement in accordance with the quality management process, identifying root causes and - where applicable - offering suggestions for corrective action plans.
  • Serves as a resource for data entry validation, non-conformance reporting and audits and process compliance.
  • Ensures compliance to established process and consistency amongst all IO Team Members, Monitors project delivery documentation for quality and compliance through audit and various internal and client tools.
  • Provides guidance and leadership to BGIS Team Members; assure the team meets deliverable for clients, management and other support groups.
  • Collaborates with IO and BGIS team leaders to identify and establish key performance indicators & performance metrics, baseline levels and improvement targets.
  • Maintains quality documentation including performance KPI\'s/metrics, training guidelines & documentation.
  • Ensures ongoing compliance with client-mandated reporting, including (but not limited to) submission deadlines; information accuracy and quality as well as; precision of all supporting documentation.
Process Improvement
  • Analyzes processes for efficiencies, creates process tools and directs team training for process improvement.
  • Supports the development, maintenance, and continuously improvement of BGIS quality management system.
  • Supports the BGIS non-conformance process, opportunities for improvement and incident processes and ensures they are properly reported and managed, including working with our client on implementing new standards.
  • Works with the Sr Project Controls Manager to develop, implement, train and promote quality initiatives across the account and within BGIS (as applicable).
Training
  • Supports the preparation of & conducts continuous training programs and guidelines for current & evolving client process enhancements.
  • Supports the onboarding of new employees, directs the required training, ensures appropriate level of follow-up and validates that employee comprehension prior to conclusion of probation period - *implementation of client specific training requirements and checklist, creation and development of client specific project delivery task list*.
  • Provide guidance on ongoing quality initiatives.
Integration / Collaboration with Operations and Other Groups
  • Work in Collaboration with Key BGIS Account Team Members - Health and Safety, Environment, Capital / Asset Planning, Operations and technical services, Energy Management, Heritage, Workplace etc. to ensure review of project scope and alignment to key requirements in these departments.
Project Performance, Approvals, Reporting and Data Integrity
  • Support the full adoption of BGIS PM Technology, Dashboards and Reports as the centralized data warehouse for all project information.
  • Review and use key dashboards (PM System and/or BI) regularly (daily, weekly as required) as per BGIS protocols to monitor project performance and adhere to outlined MSA Key Performance Indicators.
Client Relationship Management
  • Develops and maintains effective relationships with clients.
  • Accountable for resolving issues, managing client expectations, and ensuring client satisfaction.
  • Escalates issues as needed.
  • Other duties as assigned.
SKILLS & KNOWLEDGE
  • College diploma or equivalent training in a related discipline with 1 to 3 years demonstrated experience.
  • Strong computer skills, highly proficient with MS office and Excel skills, with advanced working knowledge on customized excel reporting, pivot tables and formatting.
