Position Overview:
We're looking for a highly organized, detail-oriented, and customer-focused professional to join our team as a Project & Customer Success Coordinator. In this dynamic hybrid role, you'll be instrumental in keeping projects on track while delivering a seamless and exceptional customer experience. You'll support the client and internal teams by managing schedules, tracking progress, and facilitating clear communication across departments. As a primary point of contact for our clients, you'll provide timely updates, proactive support, and a high-touch, white-glove level of service that strengthens relationships and enhances customer loyalty.
This role is a vital part of the WCD team, working cross-functionally with our creative services, project management, and leadership teams. Your contributions will not only ensure the smooth execution of projects but will also help grow our presence and impact within key accounts.
Key Responsibilities:
Project Coordination:


Assist in the planning, scheduling, and tracking of project activities to ensure timelines and deliverables are met. Develop and maintain project plans, schedules budgets and work-back timelines to ensure projects stay on track and in scope Update status reports with relevant meeting notes Host or attend project kickoff meetings both virtually and in person Partner and coordinate with internal teams, suppliers, and stakeholders to support smooth project execution. Monitor project progress and communicate updates or potential issues to the team. Support project managers by organizing information, preparing reports, and following up on outstanding items. Assist with site measurements and getting design templates created Use project management tools such as Monday.com for planning and tracking
Customer Success:


Act as a primary point of contact for customer inquiries via phone, email, or in person. Provide timely, accurate information to customers regarding project status, timelines, and product/service details. Develop and present detailed quotes that meet the clients' requirements. Offer alternative suggestions and pricing when possible. Address customer concerns and escalate complex issues to the appropriate team members. Ensure a positive customer experience by delivering friendly, professional, and solution-focused communication. Maintain accurate customer records and documentation in company systems. Work with senior leadership to achieve budget and sales targets Offer consultation on print and signage projects, engage subject matter experts as needed. Ensure services are delivered on time and meet quality standards Work closely with management to Identify and pursue new project opportunities
Qualifications:


3- 5 years experience in project coordination, customer service, or an administrative role is preferred. Strong organizational skills with the ability to manage multiple tasks and deadlines. Excellent communication and interpersonal skills. Detail-oriented with a proactive, problem-solving mindset. Proficiency with project management tools (e.g., Monday.com, Microsoft Office, CRM software) is an asset. Ability to work independently and as part of a collaborative team.
Education:
A Diploma or Certificate in fields such as:


Project Management Graphic Communications Business Administration or a related field
