Position Overview:



The Project Coordinator plays a key role in supporting the day-to-day operations of plumbing and heating projects. This position involves coordinating with field teams, suppliers, and clients to ensure projects run smoothly and efficiently. The role also includes assisting with office communications--answering phones, managing emails--and handling material orders to keep projects on schedule.

Key Responsibilities:



Project Coordination

Assist Project Managers in planning, organizing, and tracking project progress. Prepare and maintain project documentation, schedules, and reports. Communicate project updates to clients, team members, and management. Coordinate with field technicians to ensure job readiness and resource allocation.

Material & Equipment Management

Order and track materials, tools, and equipment needed for ongoing projects. Communicate with suppliers and vendors for pricing, availability, and delivery schedules. Verify and process purchase orders and packing slips. Maintain an organized material inventory system.

Administrative & Communication Support

Answer phone calls and respond to general inquiries in a professional manner. Manage incoming and outgoing emails, ensuring timely responses. Assist with scheduling service calls and updating job information in company systems. Support the office team with document filing, data entry, and general administrative tasks.

Customer & Team Support

Provide excellent customer service when dealing with clients and contractors. Help resolve minor on-site or scheduling issues by coordinating between the office and field teams.

Qualifications:



Previous experience in

project coordination

,

construction

, or

plumbing/heating industry

preferred. Strong organizational and multitasking skills with attention to detail. Excellent communication skills--both written and verbal. Proficient with Microsoft Office (Word, Excel, Outlook) and project management software. Ability to work independently and as part of a team in a fast-paced environment. Valid driver's license is an asset.
