Role Description
The Ryder Architecture Vancouver office is looking for a detailed-oriented
Project Coordinator
to join our team. This is a crucial role in our team. You will help keep us on track, help keep our systems and design team well organized, and enable our project leads to focus on what they do best.
Our project coordinators gain practical experience by actively participating in projects alongside our design teams. This is a great role for someone who likes variety, and it includes project coordination, communications, and receptionist duties. What you will bring
Must-haves:
Detail and process-oriented
Proven ability to work well both independently and as part of a team
Experience in Excel, Word, PowerPoint, Microsoft Teams and Outlook
Computer literacy / comfortable learning new technologies and software
Ability to quickly learn new skills and methodologies
Ability to prioritize and manage multiple tasks
Strong organizational skills with acute attention to detail
Excellent analytical/creative problem-solving skills
Highly motivated individual with excellent interpersonal skills, and strong verbal, telephone, and written communication skills
Adaptable and resourceful in handling shifting, sometimes competing, priorities and tight deadlines while maintaining a positive and helpful attitude
Nice-to-haves:
1+ years in an administrative role
Previous knowledge of the architecture, engineering, or construction industry
Experience working with Adobe InDesign
Prior knowledge of Microsoft PowerBI or Projects
An eye for and/or interest in design
Overview of Responsibilities
Construction Contract Administration Tasks (70-80%)
The amount of communication and paperwork during the design and building of projects is significant. As Project Coordinator, you will be assigned to two or more projects to help keep them organized, and to manage the associated Construction Contract Administration tasks, including:
Coordinating and maintaining project documentation internally and externally, with an eye for detail and efficiency. This includes submittals, requests for information and contract instructions.
Maintaining project information for internal use, facilitating project deadlines.
Assisting with the preparation of Certificates for Payment, Change Orders, and other contract documents.
Effectively communicating with both internal and external teams about construction related items.
Actively participating in project delivery meetings and recording minutes.
General Administrative Tasks (20-30%)
Assisting in the organization and planning of hospitality for guests such as ordering catering, room set up, clearing and replenishing.
Providing related administrative support to project leads and teams for individually assigned projects.
Assistance with reception duties as needed - answering telephones, arranging meetings and events, including team outings, arranging travel, receiving packages, distributing mail that arrives at the front desk.
Helping organize Lunch and Learns and other events for the office
Assisting teams with administrative functions including, typing, copying, binding, and archiving
Organization of the office - ensuring all spaces are kept tidy and stocked.
