Why is this role important?

The Project Coordinator, working within a matrix function, is responsible for coordinating operational activities related to all products and services provided by the Health Human Resources teams. The coordinator provides support for internal and external committees/meetings and works closely with the HHR teams supporting basic operational functions and data quality initiatives.

What you\'ll do

1. Responsible for contributing to the development and monitoring of program plans, building and maintaining Gantt charts, following up on workflow to ensure timelines are met by all team members, and coordinating production of products from start to finish i.e. development, interdepartmental collaboration, report generation, translations, publications, web maintenance and distribution.
2. Maintains and revises documentation for HHR deliverables in the departmental Gantt and tracking documents with input from HWI team members.
3. Coordinates timely approvals and sign-off of relevant program deliverables and related documentation.
4. Coordinates and monitors all operational and logistical aspects related to project plans and deliverables. Provides regular status updates and communication plans to the Program Leads and Manager to ensure timelines and deliverables are on track.
5. Provides support to the Program Leads and Managers in operational plans and budget preparation and coordinates development of monthly departmental status reports.
6. Monitors the HHR mailbox and supports the Program Leads with the coordination of resources for requests.
7. Liaises with internal and external clients and stakeholders to ensure all project related aspects are in line with corporate policies and adhere to internal processes.
8. Contributes to the development and production of products and services by the HHR teams such as standard reports, publications and compiling data for data requests.
9. Supports Data Quality initiatives related to HHR including fact checking, literature review, and report writing. Adheres to CIHIs 5 dimensions of information quality defined as; accuracy, timeliness, comparability, usability and relevance.
10. Maintains knowledge of the HHR data holdings and supports the maintenance of departmental process documentation.
11. Assumes responsibilities for other related duties as assigned by the Program Lead and/or Manager, Health Human Resources, Data Development.

What you\'ll bring to the table
  • Undergraduate degree or college diploma in health information, social sciences, business administration or similar field.
  • 1-3 years\' experience working with data and project coordination.
  • Familiar with project management principles and the project management lifecycle, and requirements within each phase.
  • Experience with Excel, statistical analysis, and a basic understanding of information systems in health care.
  • Knowledge of the Canadian Health system.
  • Proficient in software application and document formatting specifically, MS Office applications; experience using MS Project is an asset.
  • Strong organizational skills with a demonstrated ability to manage multiple tasks, activities and priorities.
  • Excellent verbal and interpersonal communication skills.
  • Strong conceptual and problem-solving skills.
  • Fluency in English is required, bilingualism in both English and French is an asset.
