Gateway Mechanical currently has an exciting opportunity for a Project Coordinator!

Our model is comprised of local branch teams with fully qualified personnel representing HVAC, refrigeration, plumbing/gas fitting, sheet metal, and electrical trades. These teams are supported by centers of excellence including professional engineers and project managers which ensures Gateway's full technical capability is available for every project and service call.
Working closely with project staff, the Project Coordinator (PC) is responsible for individually managing delivery schedules, completing site paperwork, planning, executing, monitoring, and closing of assigned projects. In addition to this, the PC will also support Project Managers with Project Management responsibilities including the management of costs, schedule, and project status while maintaining excellent relations with team members, subcontractors, consultants, and Gateway's clients.
Responsibilities

  • Plan, execute, monitor performance, and closeout all assigned projects;
  • Deliver project completions on time and within budget;
  • Ensure all contract conditions (invoicing, reporting, change management, etc.) are applied and fulfilled for the life of the project ;
  • Perform document control specific to project drawings, shop drawings, RFIs, change orders, etc. inclusive of the applicable tracking sheets;
  • Monitor and report the financial progress of the project, project invoicing, monitoring of payments, forecasting of revenue;
  • Help organize site activities and monitor in coordination with the field staff;
  • Provide support to Project Managers with Project Management responsibilities on medium to large projects
  • Perform monthly site safety inspections;
  • Perform weekly management of project department documents such as the Project One-Line Summary, O&M Manual Tracking Sheet
  • Other project support duties as required;
  • Issue, distribute, and track of Purchase Orders ;
  • Process reports in SamPro such as Job Cost Detail and Committed Cost reports as requested;
  • Compilation of turnover binders and operation and maintenance manuals ;
  • Coordinate and assist in the Pre-Access Security Requirements for applicable projects
  • Champion Gateway's Safety Culture;
  • Ensure Gateway's Safety Management System supports a culture of safety excellence;
  • Work with operational leaders to ensure Gateway successfully passes COR audits;
  • Act as an example through diligent practice of all HSE regulations;
  • Participate in daily HSE meetings;
  • Maintain a positive tone within the team and work cooperatively through personal behavior, work contribution and the sharing of expertise and knowledge; and
  • Act as an ambassador for Gateway Mechanical Services in all dealings with the public, management and team members.
Minimum Qualifications
  • Ongoing or completion of a Post Secondary Education in the construction of project management field;
  • 2+ years' experience coordinating construction projects with budgets at a minimum of $300,000;
  • Demonstrated Intermediate to Advanced level of Microsoft Office products;
  • Experience managing customer expectations with the ability to strategize and implement solutions in various time-sensitive situations while managing budgetary constraints;
  • Able to read financial reports, such as Cost, WIP, & A/R reports. Ability to spot discrepancies, and compare financial reporting;
  • Must have a construction background and/or knowledge of construction terminology.
Additional Desirable Qualifications
  • Registration as an EIT, considered an asset;
  • Mechanical Engineering Degree is an asset; and
  • Working experience in the HVAC/Refrigeration industry or construction industry is preferred.
