Project Coordinator & Purchasing Specialist
to support our pump projects and material procurement activities.
Job Summary
This in-person role combines project coordination and purchasing responsibilities. You will work directly with production, project management and finance teams to ensure pump projects move efficiently through each stage, while also managing supplier relationships, purchase orders, and material planning.
Responsibilities:
Project Coordination
Manage project tasks, timelines, and deliverables using Trello.
Update project boards, maintain checklists, and track progress across multiple active jobs.
Communicate project status to internal departments and clients.
Assist with preparation of submittal packages, project documentation, and reports.
Identify delays or issues and escalate as needed.
Enter new project orders into Sage ERP
Create new project files for engineering/production planning
Enter/Update BOMs from Solidworks into Sage ERP
Assemble/Disassemble items in Sage ERP
Assist with QA documentation, testing coordination, and customer project requirements.
Scan completed serial record project records
Purchasing & Procurement
Source and purchase mechanical, fabricated and pass-thru components.
Request quotes, negotiate pricing, and issue purchase orders.
Manage vendor relationships and monitor supplier performance.
Track inventory levels and coordinate material needs with production.
Ensure all purchased materials meet quality and technical specifications.
Use Sage 300 ERP for purchasing and inventory processes.
Qualifications
3+ years of experience in project coordination, purchasing, or supply chain (manufacturing or industrial preferred).
Experience with Trello or similar project management tools.
Proficiency with Sage 300 ERP (preferred).
Strong organizational and time-management skills.
High attention to detail and accuracy.
Strong communication skills (verbal and written).
Proficient in Microsoft Excel.
Ability to read technical drawings (asset).
Knowledge of pumps or mechanical equipment is an advantage.
Must be available to work on-site at our Toronto facility (no remote or hybrid work).
