Projects don't succeed by accident. They succeed because someone is tracking details, managing timelines, identifying risks early, and keeping teams aligned as work moves from planning to delivery.


The Project Coordinator serves as a central point of organization and communication, helping turn projects sold by Sales into successful outcomes for clients. This role supports consistency, clarity, and follow-through across internal teams, vendors, and clients -- especially when priorities shift or projects become complex.

What You'll Actually Do (Day to Day)



Own the Project Experience


Support projects from sales handoff through successful delivery. Keep projects organized, documented, and progressing according to plan. Anticipate risks and address potential issues early.
Run Meetings That Matter


Coordinate and lead internal and client meetings, including kickoffs, status updates, and wrap-ups. Prepare agendas, guide discussions, and track action items. Ensure clarity around ownership, timelines, and next steps.
Coordinate People, Schedules & Vendors


Schedule Professional Services team members and Sales Engineers to support project delivery and revenue goals. Coordinate vendors and third-party partners, tracking deliverables and timelines. Adjust schedules and priorities as project needs evolve.
Be a Key Communication Resource


Provide consistent, proactive updates to clients and internal stakeholders. Translate technical progress into clear, understandable information when needed. Escalate risks or issues in a timely and appropriate manner.
Keep Projects On Track


Track scope, timelines, and budgets. Support weekly revenue forecasting and utilization tracking. Identify risks to delivery or profitability and communicate them early.
Quality Control & Follow-Through


Perform final reviews to confirm all deliverables have been completed as expected. Ensure project documentation is accurate, complete, and current. Follow up until projects are fully closed and documented.
Stay Organized


Maintain project boards, work-in-progress tracking, sales order conversions, and inventory audits. Keep project systems clean, reliable, and up to date. Support scope requests and prioritize Sales Engineer work appropriately.

Preferred Skills & Experience



1-3 years of experience in a Project Coordinator, Project Manager, or similar role. Experience in a fast-paced or client-facing environment (MSP experience a plus). Familiarity with tools such as Microsoft Teams, ConnectWise, MS Planner, or similar platforms. Experience managing multiple projects simultaneously. Understanding of project management fundamentals and resource planning. Interest in IT services and professional services delivery.
