The Role
We are seeking a hands-on Project Coordinator to manage the execution of energy-saving LED projects from initial assessment to final sign-off.
This is a hybrid field-and-office role. While most administrative work will be done from your home office, you will be the active bridge between our business team and the installation sites. You will conduct site audits, manage procurement, and actively support our electricians during installation to ensure projects stay on schedule.
Key Responsibilities
1. Assessments & Documentation
Site Audits: Conduct detailed lighting assessments at client facilities to gather data for proposals.
Data Entry: Input assessment data into project proposals with high accuracy.
Records: Maintain all required project documentation
2. Project Planning & Procurement
Scopes & BOMs: Prepare detailed Scopes of Work and Bill of Material (BOM) schedules.
Ordering: Input data into procurement processes to ensure fixtures are ordered accurately and delivered on time.
Rebates: Manage the full lifecycle of government rebate applications (e.g., Save on Energy), ensuring accuracy and timely submission.
Process Improvement: Evaluate and improve internal processes to maximize project efficiency.
3. On-Site Coordination & Logistics
Active Field Support: Serve as the primary liaison between the office and the installation crew.
Material Handling: Physically assist on-site by unboxing/staging new fixtures for installers and managing the removal/consolidation of old fixtures to keep the electricians focused and efficient.
Schedule Management: Coordinate work schedules for electrician installers to ensure deadlines and cost targets are met.
Qualifications
Experience: Previous experience in construction project management, electrical distribution, or lighting retrofits is highly preferred.
Technical Skills: Strong proficiency in Microsoft Excel is required (ability to manage large data sets for BOMs and rebates).
Soft Skills: Strong critical thinking and analysis skills; excellent verbal and written communication.
Leadership: Ability to take ownership of a project site and guide the workflow.
Requirements & Working Conditions
Physical Component: Must be willing to perform physical tasks at active client sites, including lifting and moving new and removed lighting fixtures (up to 50 lbs) to support electrician workflows.
Transportation: Must possess a reliable personal vehicle and a valid Class G Ontario driver's license.
Note: Mileage will be paid for site visits if a company vehicle is not provided.*
