The Project Coordinator supports the planning, execution, and completion of our Vitrum Glass projects which include architectural, commercial, and specialty glass work. This role acts as a key link between our Sales, Engineering, Purchasing, Scheduling, and Production teams to ensure projects are delivered on time, within scope, and to our quality standards.

Duties and Responsibilities

Provide customer service that will ensure external and internal clients that our service is the best they have ever been given from point of contact, through quality of product, to speed of completion. Send out booking orders and project checklists to ensure all information is captured. Collect information from team members and clients to create project plans. Schedule the release of orders to meet client requirements. Ensure all client requirements are accurately recorded on orders. Follow-up with clients as part of always providing the highest level of customer service. Perform general administrative and recordkeeping functions to ensure project specific information is readily available. Manage project-related inquiries or escalations and provide appropriate responses in a timely manner. Track and report on project milestones ensuring deliverables are completed and meet project requirements. Prepare detailed analysis or review of aspects of the project as required. Coordinate with various internal teams (Shipping, Scheduling, Production, Purchasing, etc.).

Required Qualifications

Ability to communicate clearly with all parties involved in a project, including key stakeholders, internal customers, and team members. Ability to demonstrate exceptional customer service, teamwork, and attention to detail to ensure client satisfaction. Proven experience in developing detailed project plans using project management tools and methodologies. Capable of identifying issues and generating solutions in moderately complex situations. Willingness to contribute actively to team discussions; sharing experiences and ideas. Strong organizational and planning skills and the ability to manage multiple priorities. Ability to read, analyze, and interpret drawings, documents, and technical procedures. Excellent organizational skills (prioritizing, time management, record keeping, follow up, etc.). Exceptional accuracy and attention to detail. Ability to embrace new technologies and systems, yet capable of following existing procedures. Demonstrated problem solving and sound judgment. Fenestration experience is an asset, as is experience with Fenevision ERP. Strong technical skills (Word, Excel, Teams, Outlook).
