Job Duties
Coordinate and document all phases of project administration, including handovers, meetings, milestones, compliance, schedules, and site progress.
Manage, maintain, and distribute project documentation (contracts, RFIs, submittals, shop drawings, purchase orders, change orders, and official correspondence).
Oversee purchase orders and shop drawings: generate, process, and track orders; manage revisions, site changes, and approvals; ensure alignment with specifications.
Support scheduling, resource allocation, procurement, and operational workflows using project management software and communication with internal/external teams.
Serve as the main point of contact for stakeholders, relaying information, coordinating issue resolution, and maintaining strong communication across all parties.
Administer compliance, quality control, and safety initiatives: maintain all regulatory, safety, and inspection documents, attend required meetings, and ensure up-to-date records.
Prepare pre-qualification submissions and proactively contribute to the improvement of processes and development of standard operating procedures.
Job Requirements
Post-secondary education (college diploma or degree) in Construction Management, Engineering Technology, Business Administration, Project Management, or related field, or equivalent workplace experience.
Minimum 2-5 years in construction coordination, project administration, or related role within mechanical, electrical, or general contracting environment.
Demonstrated understanding of mechanical construction processes, terminology, and documentation requirements.
Ability to read and interpret mechanical drawings, shop drawings, specifications, and technical documentation.
Proficient in office and project management technologies, including Microsoft Office Suite (Excel, Word, Outlook), project management software, and construction scheduling platforms.
Experienced with construction-related business systems, such as Sage accounting/ERP software, and document management platforms (OneDrive, SharePoint, or similar).
Demonstrated experience in mechanical contracting, HVAC, plumbing, or related trades, with strong knowledge of field operations, health and safety regulations, and WSIB compliance.
Skilled in pre-qualification and contractor submissions, with additional familiarity in social media and digital marketing for the construction sector.
