POSITION SUMMARY:



Under the direction of the Project Director and Clinical Director of the Health Information System (HIS) Project, the Project Coordinator will be responsible for coordinating activities between project team, hospital leadership, clinical staff, IT teams, and regional representatives to ensure a smooth and efficient implementation.



RESPONSIBILITIES:




Assist in developing and maintaining project plans, schedules, and deliverables specific to Epic implementation phases (e.g., planning, build, testing, training, go-live optimization). Support project governance by scheduling meetings, tracking action items, and ensuring follow-ups with key stakeholders. Help manage risk logs, issue tracking, and mitigation planning for Epic implementation challenges. Coordinate with regional representatives, project teams, hospital leadership, clinical and technical teams to align Epic system workflows with hospital operations through various internal and external working groups. Coordinate and support Change Management initiatives, ensuring buy-in and adoption among hospital staff. Maintain clear and transparent communication regarding project status, risks, and key decisions. Maintain accurate project documentation, including Epic system configurations, meeting minutes, decision logs, and issue trackers. Track progress of system testing (Integrated Testing, User Acceptance Testing - UAT) and coordinating logistics for training sessions, managing sign-ups, and distributing training materials. Help manage the cutover plan and coordinate go-live support activities, including the command centre. Support regular project status updates to leadership, IT teams, committees and workgroups. Support the monitoring of project timelines, budget and resource allocation, ensuring all aspects remain on track.

EDUCATION & EXPERIENCE REQUIREMENTS

College degree/diploma in healthcare administration, information systems, business administration, or a related field. Two+ years of experience in project coordination, healthcare IT, or HIS/EMR implementation projects


SKILLS REQUIREMENTS:




Strong knowledge of project management and change management best practices and methodologies Familiarity with project management tools (MS Project, MS Teams, Sharepoint) and Microsoft Office Suite. Proven experience working in a team-oriented, collaborative environment Demonstrated effective interpersonal, leadership, and communication skills Ability to prioritize and execute tasks in a high-pressure environment

PREFERRED SKILLS & CERTIFICATIONS

Epic implementation knowledge considered an asset CAPM or PMP Certification considered an asset Certification in PROSCI Change Management considered an asset Strong knowledge of project management and change management best practices and methodologies Familiarity with project management tools (MS Project, MS Teams, Sharepoint) and Microsoft Office Suite Proven experience working in a team-oriented, collaborative environment Demonstrated effective interpersonal, leadership, and communication skills Ability to prioritize and execute tasks in a high-pressure environment
