Summary
Ace Mechanical Ltd. is hiring a detail-oriented, highly organized Project Coordinator to support the successful delivery of mechanical construction projects. This role provides project administration, document control, labour and financial tracking, shop drawing coordination, change order management, billing support, and project close-out activities. The Project Coordinator will also provide cross-functional assistance to Accounting and Project Management teams on an as needed basis. The ideal candidate has a diploma in Engineering Technology or Business Administration and has exposure to the construction industry.
Key Responsibilities
Project Administration
: Manage contracts, documentation, and compliance requirements from initiation through close?out.
Labour & Financial Tracking
: Maintain labour trackers, and support preparation of schedules of values and billing process.
Coordination & Documentation
: Manage shop drawings, subcontractor purchase orders, and vendor documentation.
Materials & Procurement Support
: Track materials, purchase orders, and confirmations.
Change Management
: Assist with RFIs, site instructions, and change orders, including costing, approvals, and billing updates.
Billing & Reporting
: Support invoice approvals, credit note monitoring, and project profitability reporting.
Team & Site Support
: Prepare meeting agendas, coordinate meetings and track action items, and provide on-site support as needed.
Project Close-Out
: Coordinate collection of project close-out documentation.
Cross-Functional Assistance
: Provide ad hoc support to Accounting and Project Management teams.
Qualifications
Education & Experience
Diploma in Engineering Technology, Business Administration, Construction Administration, or equivalent experience.
Experience
Entry level/New Grad, or 1-3 years in an administrative or project coordination role; construction industry experience is an asset.
Software Proficiency
Microsoft Office 365, Sage, and estimating software are an asset.
Skills
Strong attention to detail, excellent organizational and time management skills, ability to manage competing priorities, clear written and verbal communication, comfortable liaising with a variety of stakeholders.
Other
Valid driver's license and ability to visit sites across HRM.
